Job Overview
This role will serve as a key administrative support for the legal and executive departments and requires a proactive administrative professional capable of overseeing reporting cycles, managing corporate entity standing, and acting as the primary administrative point of contact for investors and shareholders. The ideal candidate is reliable with demonstrated research and organizational skills, and a commitment to getting the job done right.
Primary Responsibilities
- Document management including e-signature administration, legal contract templates, nondisclosure agreements, and approval workflows
- Management of annual and semiannual reporting including version control, stakeholder coordination, and interdepartmental scheduling
- Investor relations and administration of communications, management of email accounts. Coordination with other departments including marketing and finance where necessary
- Preparation of company wide quarterly meeting including updates and reports, presentation materials
- Finance department liaison on banking compliance, auditor inquires, tax matters, delinquent accounts
- Administer insurance renewals, track expiring licenses, permits and registration held by TerraCycle and acquired companies
- Vendor onboarding and compliance for LOOP and UK
- Invoice management including review and record keeping, tracking to completion
Desired Qualifications
- 5 years of administrative experience in a corporate environment, specifically working with legal and finance professionals.
- Bachelor’s degree or equivalent work experience
- NJ Notary, or the ability to become one after hire
- Excellent writing and communication skills.
- Strong Microsoft Office skills (Word, PowerPoint, and Excel).
- Strong organizational and file management skills
- Paralegal experience
