The Special Accounts Representative is responsible for the administration and maintenance of Individual Retirement Accounts (IRA), Health Savings Accounts (HSA), and other special account types. This position ensures accurate processing, regulatory compliance, and timely handling of special account activities, including deceased member account distributions and closures. The Special Accounts Representative serves as a resource to members, beneficiaries, and internal staff by providing professional support, maintaining specialized regulatory knowledge, and assisting with reporting and operational requirements. The role requires strong attention to detail, confidentiality, and a commitment to Credit Union policies and service standards.

Duties and Responsibilities

Special Account Management

  1. Set up IRA and HSA accounts.
  2. Assist in development of special account products.
  3. Work with agents/brokers to establish HSAs.
  4. Complete end-of-year IRA/HSA reporting.
  5. Maintain regulatory knowledge for IRA, HSA, Trust, Power of Attorney (POA), Payable on Death (POD), and deceased accounts.

Operations & Monitoring

  1. Process IRA periodic payments.
  2. Review daily membership applications for accuracy.
  3. Create special account reports for management.
  4. Work with Credit Union attorney regarding document acceptance.

Compliance, Security & Risk Management

  1. Ensure adherence to all Credit Union policies, regulatory requirements, and security procedures.
  2. Protect member information and always maintain confidentiality.
  3. Report suspicious activity and follow established fraud prevention procedures.
  4. Ensure work areas remain clean, organized, and secure.

Member & Team Support

  1. Assist beneficiaries of deceased members.
  2. Train team members on special accounts and death claim processes.
  3. Provide clarification and support to team members.
  4. Train a backup for coverage.
  5. Assist Insurance & Records Specialist with insurance proof submissions.

Other Duties

  1. Cover the from desk as assigned and maintain a professional presence.
  2. Other duties as assigned.

Starting hourly rate between $18.80 - $23.50 depending on experience.

Requirements:

Critical Knowledge Skill and Educational Requirements:

  • High School Diploma or equivalent.
  • Minimum of one year of financial institution experience.
  • Knowledgeable of Regulatory Compliance Requirements of a Depository Financial Institution.
  • Knowledge of IRA/HSA requirements.
  • Experience in good customer relations.
  • Excellent telephone etiquette and verbal communication skills.
  • Excellent interpersonal skills.
  • Exceptional organizational skills.
  • Must be dependable and reliable.
  • Must pass all credit and bond requirements.
  • In depth knowledge of Credit Union products and services is a plus.

  • The team member consistently is required to stand and sit, view computer screen, talk and hear, and at times may lift/move up to 10 pounds.
