We are seeking a highly organized, service-driven HR / Office Coordinator to support both front-office operations and human resources coordination. This role is critical to creating a welcoming, efficient, and compliant environment for both patients and team members.

General Description

The HR / Office Coordinator is responsible for the efficient and compassionate management of daily front-office operations while supporting key human resources functions. This individual serves as the first point of contact for guests, patients, and team members, directly influencing the overall experience, engagement, and operational flow of the facility.

This role plays a vital part in ensuring a trauma-informed, recovery-oriented environment while maintaining compliance with company policies, regulatory requirements, and documentation standards.

Essential Duties & ResponsibilitiesOffice Coordination
  • Coordinate schedules to ensure maximum productivity and guest-centered efficiency
  • Serve as the welcoming presence for guests and visitors, providing high-quality, trauma-informed customer service
  • Ensure completion and accuracy of all required guest documentation, including consents and agreements
  • Facilitate guest enrollment in the EMR system, patient portal, and kiosk at admission
  • Monitor and manage EMR queuing system for workflow accuracy and alignment
  • Collect and reconcile co-pays, maintain logs, and coordinate with billing
  • Manage scheduling and logistics for conference rooms and community spaces
  • Direct inbound and outbound communications (mail, phone, email)
  • Support internal communications through preparation and distribution of updates and reports
  • Contribute to client and employee retention through proactive engagement and service recovery
  • Oversee office equipment functionality and supply inventory
  • Coordinate vendor relationships and service appointments
  • Organize meetings, events, and employee gatherings
  • Uphold confidentiality, documentation, and compliance standards
  • Perform additional administrative duties as assigned
HR Coordination
  • Coordinate new hire onboarding schedules and logistics
  • Ensure completion of all pre-employment requirements (background checks, drug screens, I-9, etc.)
  • Collect, verify, and upload employee documentation into HRIS and personnel files
  • Prepare orientation materials and coordinate system access for new hires
  • Partner with managers to ensure a smooth and professional Day 1 experience
  • Track required trainings, certifications, and licensure renewals
  • Support compliance efforts including Joint Commission readiness and documentation standards
  • Serve as a first point of contact for basic HR-related questions
  • Provide guidance on policies, procedures, and next steps
  • Escalate employee relations concerns appropriately to HR or leadership
  • Support internal communications (announcements, reminders, updates)
  • Partner closely with Corporate HR on processes, compliance, and initiatives
  • Perform additional HR duties as assigned
QualificationsMinimum Qualifications
  • High school diploma or equivalent required
  • Minimum of 2 years of experience in administrative, front desk, or coordination roles (healthcare preferred)
  • Proficiency in Microsoft Office Suite
  • Ability to maintain confidentiality and handle sensitive information
  • Strong verbal and written communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • CPR and First Aid certification (or ability to obtain within 30 days of hire)
  • Valid driver’s license with acceptable driving record (if applicable)
  • Ability to work flexible hours, including occasional evenings or weekends
Preferred Qualifications
  • Associate’s or Bachelor’s degree in Business Administration or related field
  • Prior experience in HR coordination or onboarding support
  • Experience with scheduling, employee records, or timekeeping processes
  • Familiarity with HRIS systems such as BambooHR or ADP
  • Knowledge of HIPAA and healthcare confidentiality standards

Compensation

The base compensation range for this position is $45,000 – $55,000. This range reflects Ascension Recovery Services’ good faith estimate at the time of this posting. Placement within the range will be based on a variety of factors, including but not limited to skills, experience, qualifications, location, and internal equity. Candidates should be comfortable with an on-site presence to support collaboration, team leadership, and cross-functional partnership.
