Position Description

GBI has always maintained that our employees are our greatest asset, and we are now seeking to add to our team. We are looking for a Project Administrator to join our team in Folsom, CA.

Position Summary

This Project Administrator will be a valuable project team member by providing administrative support to the overall project group. This job requires a high-level attention to detail, organizational skills and excellent written and oral communication skills. The project environment is fast paced, so an ability to switch gears quickly, provide ideas to streamline processes and efficiently complete tasks will be essential.

Position Description

  1. Ensure all timecards for assigned jobs are complete and ready for payroll processing, approve in system on a weekly basis and submitted to payroll by noon on Monday’s. Review timecards daily and resolves any discrepancies with the project team. Ensure project management approves time and that coding is submitted.
  2. Maintain project information within the Vista software system ensuring all information required is complete, accurate and up to date. Review project set up in Vista with project team, estimators and contract admin at start up to make sure billing format and schedule of values meet customer invoicing requirements.
  3. Ensure billing quantities and/or amounts are provided by project team on a monthly basis in advance of billing due date. Prepare billing package from Vista using information loaded into system by project team, create customer required schedules, collect all associated documents (from other internal and external departments) required for pay application and compile and send to customer. Ensure no billing dates are missed. Post Billings to Vista and ensure all documents sent to the customer are uploaded into Vista.
  4. Manage your assigned open projects by supplying AR (accounts receivable) with the following documents; lien waivers requested monthly from subs or suppliers. Strive to keep AR in good standing with a goal of under 60 days.
  5. Enter change orders into Vista as requested by the project team.
  6. Run certified payroll reports, collect union letters and other associated monthly project reports as required.
  7. Ensure job invoice routing to responsible person, work with AP to properly set up workflow for the invoices.
  8. Ensure Subcontract pay application quantities are provided by the project team on a monthly basis. Verify subcontract payment amount with project team. Notify via system subcontract payables that amounts are ready for payment pending compliance documents.
  9. Run, print and prepare reports as requested by Project Team and/or Area Manager. May be asked to prepare submittal packages and other mailings to customers and subcontractors.
  10. Work with Shared Services to identify process improvement, recurring reporting or system enhancements to improve process flow and minimize duplicate data entry.
  11. Price extra work bills in a timely fashion for submission to the customer to assist project team to create change orders.
  12. Orders supplies and other materials and prepare expense reports for project team, as needed.
  13. Attend area meeting. Responsible to bring AR and Over/Under billing reports to the area meeting for discussion and follow-up.
  14. Performs other duties as assigned.

This position offers a pay range of $29 to $39 hourly, depending on experience. This position may be filled at the Project Administrator I, Project Administrator II, or Senior Project Administrator level, depending on the selected candidate’s experience, qualifications, and demonstrated capabilities.

Position Requirements

Required Education, Experience, and Technical Knowledge

  1. Candidates must have the legal right to work in the US without employer sponsorship.
  2. 3-5 years of project administrative experience.
  3. Excellent oral skills to communicate effectively with customers, employees, project teams and vendors

Education

  1. High School Graduate or GED
  2. Associate's degree and previous experience in a construction company is preferred but not required.

Certifications / Licenses

  1. Valid driver’s license, and clean driver’s abstract is required

Computer Skills

  1. Must have computer experience using MS Office product suite and Outlook Experience with Vista and HCSS is a plus.
