Job Overview
The Litigation Transfer Intake Specialist is responsible for coordinating the transition of personal injury cases into the firm’s Litigation Department. This role ensures transferred cases are thoroughly reviewed, accurately documented, properly organized, and prepared for a seamless handoff to the litigation team.

The ideal candidate is an experienced legal professional with strong knowledge of personal injury claims and litigation processes. This position requires exceptional attention to detail, sound judgment, strong organizational skills, and the ability to identify missing information, potential issues, and time-sensitive matters before a case enters litigation. Proficiency in both English and Spanish is preferred to effectively communicate with our diverse client base.

The Litigation Transfer Intake Specialist works closely with clients, referring attorneys, and internal teams to ensure each transferred case is complete, accurate, and litigation-ready.

Key responsibilities
Manage the intake and transfer of existing personal injury cases from referring counsel or other law firms into the Litigation Department.
Review transferred case files for completeness, accuracy, and outstanding issues.
Identify and escalate important deadlines, coverage concerns, liability issues, evidence concerns, or other matters requiring attorney attention.
Organize and maintain case documents, correspondence, photographs, medical records, insurance information, and other case materials in the firm’s case management and document systems.
Complete and maintain accurate case information in Filevine and Lead Docket, including client, defendant, insurance, medical, financial, and litigation information.
Review insurance coverage, including liability and UM/UIM coverage, and ensure supporting documentation is properly maintained.
Review medical treatment, bills, liens, health insurance/subrogation information, MedPay, loans, and other damages-related documentation.
Ensure important evidence and case documentation, including police reports, photographs, Open Records Requests, and preservation-related materials, are properly documented and maintained.
Conduct client transition calls to verify case information, treatment, injuries, contact information, and outstanding documentation.
Communicate professionally with clients and referring attorneys throughout the transfer process.
Prepare concise case summaries and transfer communications for the Litigation Department, highlighting important case details, outstanding issues, and next steps.
Maintain accurate case notes and ensure all required transfer documentation is completed before the case is transitioned.
Follow established procedures and quality-control standards while managing multiple case transfers and competing priorities.

Qualifications
Minimum 1 year of relevant experience in a personal injury law firm, legal case management, litigation support, or a related legal role; 2+ years preferred.
Strong knowledge of personal injury claims, insurance coverage, medical documentation, liens/subrogation, and litigation processes.
Experience reviewing and managing established personal injury case files.
Experience with Filevine, Lead Docket, or similar legal case management systems preferred.
Exceptional attention to detail and ability to identify discrepancies, missing information, and potential case issues.
Strong organizational and time-management skills with the ability to manage multiple cases and deadlines.
Excellent written and verbal communication skills.
Professional and empathetic client communication skills.
Ability to exercise sound judgment, work independently, and appropriately escalate issues requiring attorney review.
Strong problem-solving skills and a proactive approach to completing tasks and resolving outstanding items.
Ability to maintain confidentiality when handling sensitive client, medical, financial, and legal information.
Ability to work effectively in a fast-paced, collaborative law firm environment.
Proficiency in English and Spanish preferred.
High school diploma or equivalent required; legal education, paralegal training, or additional relevant experience is a plus.
