Job Description

The Clinical & Events Coordinator at Kentucky Marijuana Card is responsible for executing and supporting in‑person medical cannabis patient drives across Kentucky, ensuring a seamless, compliant, and patient‑centered experience. This role requires statewide travel, strong organizational skills, clinical professionalism, and the ability to operate efficiently in mobile, outdoor, and event‑based environments.

The coordinator serves as the on‑site lead during patient drives—managing event setup, patient flow, documentation, and direct support for the recommending provider. This position is ideal for someone who thrives in a fast‑paced, community‑based clinical setting and enjoys working directly with patients.

Key Responsibilities
- Event Coordination — Plan, prepare, and execute statewide patient drives, including site setup, equipment readiness, signage, and workflow organization.
- Patient Intake & Support — Greet patients, verify documentation, assist with forms, and ensure a smooth check‑in process.
- Clinical Assistance — Support the recommending provider with chart preparation, EMR organization, and patient flow management.
- Compliance & Documentation — Ensure all patient forms, state-required documents, and workflow steps meet Kentucky Medical Cannabis Program requirements.
- Travel & Logistics — Travel to multiple locations across Kentucky; manage equipment transport, inventory, and event materials.
- Patient Experience — Maintain a compassionate, professional, and patient‑focused environment at all times.
- Communication — Coordinate with leadership, providers, and administrative teams to ensure smooth operations and timely reporting.
- Problem Solving — Address on‑site challenges quickly and professionally, ensuring continuity of care and workflow stability.

Qualifications
- Experience in healthcare, patient support, medical office operations, or event coordination preferred
- Strong interpersonal and communication skills
- Ability to work independently and manage on‑site operations
- Comfortable working in mobile or outdoor clinical environments
- Reliable transportation and willingness to travel statewide
- Ability to lift and transport event equipment (tables, signage, supplies)
- Tech‑savvy; comfortable with EMR systems, laptops, hotspots, and digital forms
- Professional, compassionate, and patient‑centered demeanor
- Schedule & Work Environment
- Primarily in‑person patient drives across Kentucky
- Variable locations including community centers, rented spaces, mobile units, and outdoor setups
- Flexible scheduling; events may occur on weekdays or weekends
