JOB OVERVIEW: PROJECT COORDINATION MANAGER I (UVM)

The Project Coordination Manager I (PCM1) – Utility Vegetation Management (UVM) provides direct leadership, coaching, and operational oversight for Project Coordinators and Project Coordinator Leads within an assigned division or service area. This role serves as the primary bridge between field operations, customer coordination efforts, and management leadership, ensuring vegetation management work is properly planned, communicated, scheduled, and executed safely, efficiently, and in compliance with company and customer requirements.

The PCM1 is accountable for team performance, work readiness, customer satisfaction, compliance execution, and data accuracy across their assigned territory. Working closely with Area Managers, General Foremen, environmental personnel, and utility customers, this position drives operational consistency, develops coordination staff, supports technology adoption, and contributes to the overall productivity and success of ArborWorks' vegetation management programs.


JOB RESPONSIBILITIES

Leadership & Team Development:

  • Directly supervise, coach, and develop Project Coordinators and Project Coordinator Leads.
  • Establish performance expectations and promote accountability, consistency, and professional growth.
  • Conduct onboarding, training, mentoring, and ongoing development activities for coordination staff.
  • Participate in performance evaluations and employee development planning activities.
  • Support retention, engagement, and growth opportunities for Project Coordinator personnel.
  • Foster a culture of safety, customer service, teamwork, and continuous improvement.
  • Support workforce planning and staffing needs within assigned service areas.

Operational Planning & Field Coordination:

  • Oversee daily coordination activities to ensure work is properly planned, scheduled, and prepared before crew deployment.
  • Monitor workload distribution and resource allocation across assigned reporting districts.
  • Partner with Area Managers and Operations leadership to prioritize aged work, customer commitments, emergency response, and production goals.
  • Ensure crews and coordinators have the information, documentation, and support necessary to execute work efficiently.
  • Support operational issue resolution and implement process improvements that enhance productivity and service delivery.
  • Conduct regular field visits to validate work readiness, operational effectiveness, and project execution.

Customer & Stakeholder Management:

  • Ensure consistent, professional communication with customers, property owners, utility representatives, and stakeholders.
  • Oversee customer notification, appointment scheduling, and access coordination activities.
  • Support resolution of escalated customer concerns, refusals, and service-related issues.
  • Participate in customer meetings and operational reviews when required.
  • Promote customer satisfaction through proactive communication and quality service delivery.

Compliance, Safety & Environmental Support:

  • Ensure compliance with ArborWorks policies, utility customer requirements, environmental regulations, and safety standards.
  • Support implementation and oversight of Environmental Resource/Technical Compliance (ERTC) processes.
  • Ensure Best Management Practices (BMPs) are consistently followed and documented.
  • Coordinate with environmental monitors and operational personnel to maintain compliance requirements.
  • Support audits, inspections, investigations, and corrective action initiatives.
  • Reinforce ArborWorks' safety culture through coaching, accountability, and field engagement.

Technology, Systems & Process Improvement:

  • Lead implementation and adoption of company technologies, operational systems, and process improvements.
  • Ensure coordinators and field personnel are properly trained on company platforms and workflows.
  • Serve as a subject matter resource for system utilization, troubleshooting, and process alignment.
  • Identify opportunities to improve efficiency, standardization, reporting accuracy, and operational visibility.
  • Support change management initiatives within assigned divisions.

Data Management & Performance Tracking:

  • Oversee creation, assignment, tracking, and completion of work within company systems such as KloudGin and GIS platforms.
  • Monitor performance metrics, production progress, backlog status, and workflow efficiency.
  • Review reporting data for accuracy, completeness, and compliance with operational standards.
  • Support billing documentation, audits, and customer reporting requirements.
  • Analyze operational trends and recommend corrective actions when performance gaps are identified.

REQUIREMENTS & QUALIFICATIONSEducation:
  • High school diploma or equivalent required.
  • Associate's degree in Business, Forestry, Environmental Science, Operations Management, or a related field preferred.

Experience:
  • 4-6 years of experience in utility vegetation management, project coordination, operations support, or related field operations.
  • Minimum 1-3 years of leadership, supervisory, or team lead experience.
  • Experience supporting multiple crews, territories, or operational work groups preferred.
  • Experience working in field-based utility services, forestry, vegetation management, or environmental operations preferred.

  • Ability to travel extensively and support field operations throughout assigned territories.

Licenses / Certifications:
  • Valid driver's license with an acceptable driving record.

Required Training:
  • OSHA 30-Hour Construction Safety Training within 6 months.
  • 911 Standby Training within 1 month.
  • QA/QC Process Training within 1 month.
  • Computer, GIS, and Operational Systems Training within 1 month.
  • Environmental Compliance and BMP Process Training within 3 months.
  • Leadership Development Training within 6 months.

PREFERRED QUALIFICATIONS
  • Utility vegetation management, line clearance, arboriculture, or forestry operations experience.
  • Experience managing Project Coordinators, administrative field support staff, or operational teams.
  • Familiarity with utility client requirements and contract compliance standards.
  • Experience leading process improvement or technology implementation initiatives.
  • Working knowledge of ERTC processes, environmental compliance programs, and BMP requirements.
  • ISA Certified Arborist or related industry certification.
  • Bilingual English/Spanish communication skills.
  • Experience with KloudGin, GIS mapping systems, and production tracking platforms.

WORK ENVIRONMENT
  • Hybrid leadership position consisting of both field and office-based responsibilities.
  • Assigned office or reporting location with frequent travel throughout designated divisions and service territories.
  • Regular field visits to support crews, evaluate performance, verify compliance, resolve operational issues, and engage with customers.
  • Exposure to outdoor environments including varying weather conditions, uneven terrain, vegetation management work sites, roadways, and active utility corridors.
  • Significant use of computers, mobile devices, GIS platforms, reporting software, and operational management systems.
  • Frequent interaction with field crews, customers, utility representatives, environmental personnel, and company leadership.
  • Fast-paced operational environment requiring adaptability, sound judgment, and effective prioritization.
  • May require occasional extended work hours, emergency response support, or schedule adjustments based on operational needs.
  • Ability to walk job sites, stand for extended periods, climb moderate terrain, and perform light physical activity during field inspections.
  • Occasional lifting and carrying of materials or equipment up to 25 pounds.
  • Travel is expected to comprise approximately 70-75% of work time.
