SUMMARY
The HR Specialist supports the organization’s people initiatives with a primary focus on recruiting and talent acquisition, along with responsibility for supporting training and employee development activities. This position also provides general Human Resources support in areas such as time and attendance, HRIS administration, employee records, and routine employee relations matters.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Manage full-cycle recruiting activities for assigned positions, from job posting through offer and pre-employment activities.
- Partner with hiring managers to understand staffing needs, position requirements, and desired candidate qualifications.
- Draft and maintain job postings and advertise open positions through appropriate recruiting channels.
- Source and identify qualified candidates using job boards, social media, referrals, networking, and other recruiting resources. Review applications and resumes, conduct initial candidate screenings, and coordinate interviews with hiring managers.
- Maintain timely communication with candidates throughout the recruiting process and provide a professional, positive candidate experience.
- Prepare and extend employment offers in coordination with HR leadership and hiring managers.
- Partner with the HR Specialist – HR Operations to ensure a smooth transition of selected candidates from offer acceptance through pre-employment processing and onboarding, serving as backup for pre-employment activities as needed.
- Maintain accurate applicant and recruiting records within the applicant tracking system and/or HRIS.
- Assist with recruiting metrics and reporting, including time-to-fill, candidate sources, open positions, and other key recruiting measures.
- Participate in career fairs, recruiting events, community partnerships, and other talent attraction initiatives as needed.
- Assist with the coordination and administration of employee training and development programs.
- Coordinate training schedules, materials, attendance, facilities, and communications.
- Maintain employee training records and ensure completed training is accurately documented.
- Support new hire orientation and onboarding activities.
- Assist with identifying training needs and coordinating appropriate internal or external learning resources.
- Help develop and update training materials, presentations, job aids, and other learning resources.
- Track required or recurring training and assist with ensuring employees complete training within established timelines.
- Support employee development initiatives and other programs designed to strengthen employee skills, engagement, and career growth.
- Assist employees and managers with routine questions regarding HR policies, procedures, and programs.
- Review and assist with time and attendance matters, including missed punches, attendance records, and other routine corrections or inquiries.
- Enter and maintain accurate employee information within the HRIS, including new hires, employee changes, transfers, terminations, and other personnel updates.
- Maintain accurate and confidential employee records and HR documentation.
- Assist with routine employee relations matters, including gathering information, documenting conversations, and escalating more complex or sensitive issues to HR leadership.
- Support the administration of company policies and procedures in a consistent and professional manner.
- Provide support for employee engagement, recognition, and other HR initiatives as needed.
- Participate in HR projects and process improvement initiatives.
- Perform other HR-related duties as assigned.
- Bachelor’s degree in Human Resources, Business Administration, or a related field preferred; equivalent education and relevant experience may be considered.
- 2–4 years of Human Resources experience preferred, with demonstrated experience in recruiting or talent acquisition.
- Experience supporting training, onboarding, employee development, or other HR programs preferred.
- Working knowledge of general Human Resources practices and employment-related policies and procedures.
- Experience working with an HRIS and/or applicant tracking system preferred.
- Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
