Project Accountant – Commercial Construction

Office-Based | Round Rock, TX | Supports National Projects

What We're Looking For

Wood Air Conditioning & Plumbing is seeking a detail-oriented Project Accountant to support the financial operations of our commercial HVAC/R service, installation, and construction projects.

Based in our Round Rock, TX office, this position will work closely with Project Managers, Project Coordinators, field teams, customers, vendors, and the Regional Controller to ensure projects are accurately billed, costs are properly tracked, and financial information remains current and accurate throughout the project lifecycle.

What You'll Do

  • Prepare and issue project billings, including AIA-style pay applications, retainage tracking, and change order billing when applicable
  • Prepare lien waivers and other billing-related documentation as required by contract terms
  • Initiate and prepare job billing reports for Project Coordinators, review billing information for accuracy, and prepare and distribute customer invoices and lien waivers
  • Reconcile and distribute customer account statements
  • Manage accounts receivable activities, including applying customer payments, supporting collections efforts, and responding to customer account inquiries
  • Reconcile project budgets to actual costs on a monthly basis and identify variances, cost overruns, and potential margin issues
  • Monitor Costs in Excess (CIE) and communicate potential project cost issues to Project Managers and the Regional Controller
  • Review purchase order accruals and serve as a backup for purchase order processing within the accounting/project management system
  • Set up and maintain accurate customer and vendor records in accounting and project management systems
  • Process approved job cost transfers in accordance with company procedures
  • Work closely with Project Coordinators to ensure project information, costs, and billing are accurate and up to date
  • Support Project Managers with billing, account, and customer-related communications
  • Assist with payroll processing, including reviewing technician time entries and verifying proper job and labor allocations
  • Monitor compliance with contract billing requirements, lien waiver collection, retainage requirements, and retainage release schedules
  • Maintain accurate project financial records and review system entries for completeness and accuracy
  • Lead the accounting-related portion of project closeout, including final billing, documentation, reconciliation, and project finalization in accounting and project management systems
  • Identify and communicate discrepancies between estimated and actual project costs
  • Assist with monthly and year-end closing processes
  • Assist with project audits, cost certifications, and project closeout documentation
  • Maintain compliance with company policies, contract requirements, and applicable accounting standards

What You Bring

  • 2+ years of experience in accounting, bookkeeping, accounts payable/receivable, or a related accounting role
  • Experience in HVAC/R, construction, mechanical contracting, field service, or another skilled-trades industry is preferred
  • Experience with commercial construction or HVAC/R project accounting
  • Experience with progress billing, AIA billing, retainage, lien waivers, or percentage-of-completion accounting
  • Experience with job costing and project margin analysis
  • Strong attention to detail and accuracy when working with financial and project information
  • Strong organizational skills with the ability to manage multiple projects, priorities, and deadlines
  • Excellent written and verbal communication skills
  • Strong Microsoft Excel skills; experience with VLOOKUPs, pivot tables, and other Excel functions is a plus
  • Experience with accounting software and project management or field service platforms
  • Ability to work effectively with Project Managers, Project Coordinators, customers, vendors, field personnel, and accounting team members
  • Strong problem-solving skills and the ability to identify and communicate discrepancies

Preferred Qualifications

  • Bachelor's degree in Accounting, Finance, Business, or a related field
  • Familiarity with accounting or ERP systems such as QuickBooks, Sage, NetSuite, or similar platforms
  • Familiarity with field service or project management platforms such as ServiceTitan
  • Knowledge of Texas sales tax requirements related to service and installation work

Work Environment

  • Primarily office-based in Round Rock, TX
  • Standard business hours with occasional deadline-driven periods during month-end and year-end close
  • Fast-paced environment supporting multiple active commercial HVAC/R projects
  • Frequent collaboration with Project Managers, Project Coordinators, field teams, customers, vendors, and the accounting team
