Supplier Program Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Supplier Program Coordinator based in India.

This role sits at the intersection of supplier management, finance coordination, and program operations, focusing on ensuring accurate tracking and collection of supplier-funded rebate and incentive programs. You will play a key role in supporting internal sales and procurement teams by managing supplier registrations, monitoring incentive claims, and ensuring timely credit processing. The position requires strong coordination skills to work across multiple stakeholders including suppliers, accounting teams, and internal program managers. You will help maintain accuracy in financial tracking while ensuring no incentive opportunities are missed or delayed. The environment is structured, detail-driven, and requires consistency in handling recurring operational workflows. This role is ideal for someone who enjoys process ownership, data accuracy, and cross-functional collaboration in a fast-paced business setting.

Accountabilities:
  • Support program management activities by handling supplier registration requests submitted on behalf of the sales organization and coordinating submissions with suppliers.
  • Track, validate, and follow up on supplier rebate (SPIFF) claims, ensuring timely processing and resolution of outstanding credits.
  • Communicate updates between suppliers, internal sales teams, and accounting functions to ensure alignment on incentive submissions and payments.
  • Monitor daily receipt of supplier credits and ensure accurate recording within internal accounting and tracking systems.
  • Investigate and resolve unpaid or delayed claims in collaboration with external partners and internal stakeholders within defined timelines.
  • Assist with reporting, reconciliation, and special projects related to supplier incentive programs as required.
Requirements:
  • Minimum high school diploma or equivalent required; a bachelor’s degree or 1–2 years of experience in procurement, operations, or a related field is preferred.
  • Strong organizational skills with the ability to manage multiple tasks and shifting priorities effectively.
  • Good analytical ability with comfort in performing basic financial calculations and data validation.
  • Proficiency in Microsoft Office, especially Excel (including pivot tables, formulas, and reporting functions).
  • Strong written and verbal communication skills with the ability to interact professionally across internal and external stakeholders.
  • High attention to detail, confidentiality, and ability to handle sensitive financial and supplier information.
  • Ability to work independently, meet deadlines, and operate effectively in a structured, process-driven environment.
  • Customer-service mindset with the ability to coordinate and resolve issues across teams and partners.
