POSITION SUMMARY
The Accounts Payable Specialist is responsible for ensuring that invoices are accurately processed and paid in a timely manner across multiple locations and business entities. The Accounts Payable Specialist will review and verify invoice approvals, accurately classify invoices to the appropriate general ledger account and entity, maintain organized and complete documentation, reconcile vendor accounts, and investigate and resolve discrepancies. This position requires strong attention to detail, organization, and the ability to manage a high volume of transactions while meeting deadlines.
KEY RESPONSIBILITIES
- Process and accurately classify invoices in the accounting software.
- Review invoices to ensure they have been properly approved by the appropriate property or location.
- Ensure invoices are coded to the correct general ledger account and business entity.
- Prepare vendor payments by monitoring discount opportunities, verifying federal identification numbers, and scheduling payment runs
- Resolve purchase order, contract, invoice, and payment discrepancies and maintain appropriate supporting documentation.
- Ensure proper credit is received for outstanding credit memos and issue stop-payments or purchase order amendments as needed.
- Verify vendor accounts by reconciling monthly statements and related transactions.
- Maintain accurate and organized accounts payable records and supporting documentation.
- Calculate and report applicable sales tax requirements based on paid invoices.
- Investigate discrepancies and work with vendors and internal teams to resolve issues in a timely manner.
- Maintain the confidentiality of financial and company information.
- Assist with other accounting and administrative duties as needed.
QUALIFICATIONS
Required
- High School diploma or GED required.
- 3-5 years of accounts payable experience required; general accounting experience preferred.
- 1-2 years of experience with Restaurant 365 (R365) accounting software.
- Proficiency in Microsoft Office Suite, particularly Microsoft Excel.
- Strong attention to detail and organizational skills.
- Ability to manage multiple priorities and meet deadlines in a high-volume environment.
- Strong communication and problem-solving skills.
- Ability to work effectively across multiple locations and business entities.
- Hospitality or restaurant accounting experience required.
Preferred
- Associate's degree in Accounting, Finance, Business, or related field.
- Experience processing vendor payments by check, ACH, and/or wire.
- Experience with vendor statement reconciliations, W-9s, and 1099s.
- Experience supporting multiple locations, properties, or business entities.

This is a full-time position working in an office environment that is as unique and iconic as our business model. You will typically work Monday through Friday 9:00 a.m. to 5:00 p.m. Work is primarily conducted in F&B venue settings and the corporate office.
PHYSICAL REQUIREMENTS
At ELIA, we are all about setting you up for success! The physical demands described here are representative of those you must possess to successfully perform the essential functions of this role.
This is primarily an office role that requires you to remain in a stationary position for long periods of time although standing in, and moving between, work areas may be required. You will need to be able to operate a computer and other office productively machinery, such as a calculator, copy machine, and computer printer, for a significant part of each day. This role frequently requires you to move around our office or our other properties. This role occasionally requires the ability to move objects weighing up to 25 pounds. You will also need to be able to operate a motor vehicle to visit various properties and meeting sites and communicate effectively in person, before groups, and over the telephone.
