Coordinator, Operations - CAN - AB - Fort Mcmurray - Tiaganova Cres - R26-09924
We are currently seeking a Fleet Coordinator for our Fort McMurray office. Reporting to the Operations Manager, the Fleet Coordinator role is essential to maintaining fleet reliability, regulatory compliance, operational efficiency, and accurate fleet reporting.
RESPONSIBILITIES:
- Coordinating preventative maintenance and ensuring vehicles are serviced within required intervals.
- Coordinating and scheduling tow trucks when required.
- Maintaining the daily vehicle status log and providing updates on units currently in for service.
- Coordinating vehicle washing schedules with site personnel and in town truck washer.
- Creating and monitoring Purchase Orders.
- Receiving parts and maintaining inventory records.
- Tracking parts used by mechanic and updating inventory accordingly.
- Order parts required by mechanic.
- Coordinating vehicle movements between sites and ensuring fleet databases (Internal, Holman, Samsara) are up to date for billing and cost allocating purposes.
- Processing invoices and entering data into fleet management datebases.
- Managing fuel cards, including issuing new cards, placing holds on lost cards, cancelling inactive cards, and monitoring abnormal fuel usage and report to Management.
- Install Samsara gateways and camera into new fleet and swap out devices that are no longer working.
- Obtaining and following up on vehicle estimates and approvals.
- Coordinating the receipt, inspection, and onboarding of new fleet vehicles.
- Monitoring current vehicle conditions, including damage, cleanliness, decals, and identification requirements for sites.
- Scheduling windshield repairs and replacements.
- Requesting, receiving and tracking drivers abstracts.
- Maintaining fleet reports and providing accurate fleet data to management as requested.
QUALIFICATION REQUIREMENTS
- High school diploma or equivalent education.
- 2-3 years of administrative experience.
- Experience in the construction industry is considered an asset.
- Basic mechanical knowledge of vehicles and equipment would be considered an asset.
- Intermediate working knowledge of Microsoft Office including Excel and Word.
- Excellent written and verbal communication skills.
- Multitasking, time-management, and organizational skills are an asset in this role.
- Strong customer service skills.
- Ability to self-motivate.
- Ability to work within a team and build a positive team environment.
- Ability to adapt to an ever-changing work environment with competing demands.
- Ability to display sound and accurate judgment with the ability to resolve problems in a timely manner.
- Ability to carry and move equipment and/or supplies up to 50 pounds.
- Must possess a valid driver's license and provide a clean driver abstract.
- Maintain safe working conditions and comply with AlumaSafway's safety standards and practices.
