Music Production Coordinator
(Full-Time, Benefited)
POSITION SUMMARY:
The Music Production Coordinator serves as the key liaison in managing all production requirements for performances and events at the Florence J. Gillmor School of Music. This role involves coordinating logistics, scheduling, and resources to ensure high-quality and successful events. The position also requires a commitment to occasional evening and weekend work, reflecting the dynamic nature of live performances and the vibrant music community.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Supervision
- Hire and supervise venue technician student employees
- Manage venue technician work assignments and schedules
- Track student employee hours, approve hours, and manage student employment budget allocation
- Supervise contractors and external vendors as needed
Production Planning, Scheduling and Execution
- Coordinate all music events in Coursedog with WPAC (Westminster Performing Arts Center) Operations Manager, including private lessons schedules, music performances and dress rehearsals, and other requests pertaining to music
- In conjunction with applied music faculty, manage private lesson scheduling
- Support WPAC scheduling processes for music ensembles, concert series, and sponsored events.
- Assist and collaborate with the WPAC production teams on technical elements for all music productions
- Attend production meetings, technical rehearsals, and performances, as assigned.
- Communicate with Director of Music, Ensemble directors and other production directors to organize and implement all audio, visual, lighting and other production needs for concerts
- Coordinate with WPAC Operations Manager on contracts and payments for musicians performing on the concert series, opera productions, and other guest artists
Resource and Venue Management
- Coordinate with Director of Music Technology on A/V student employee work assignments and ATD Theatre/Dance for back of house student employee work assignments.
- Maintain audio and visual systems in WPAC facilities
- Schedule piano maintenance and other instrument and equipment maintenance.
- Maintain a safe working environment, including instructing student crews in safety procedures and equipment use
- Organize equipment storage areas and backstage venue spaces
Music Event Production
- Provide audio-visual support for all music productions including
- Music Ensembles (Opera, Orchestra, Chamber Players, Singers and Chorale, Jazz Ensemble, SummerSong)
- Concert Series
- Faculty and Student Recitals
- Masterclasses
- Interdisciplinary projects as needed, e.g. musical theater
- Music Department sponsored projects and guest performances
- Mentor assigned student A/V technicians for WPAC productions.
- Support external music events as needed
Minimum Qualifications
- Associate's degree or equivalent combination of education and experience.
- Proven administrative and event production experience.
- Excellent time management skills and ability to multi-task and prioritize work.
- Experience with performing arts event planning and management.
- High degree of accuracy and attention to detail.
- Ability to work independently.
- Proficient knowledge of audio-visual need in the performing arts building
Preferred Qualifications
- Experience working in secondary or higher education.
- Areas of experience and expertise including but not limited to:
- Live or recording audio engineering.
- Archive quality video recording
- Classical music, jazz, and world music concerts
- Front and back-of-house for live classical music productions
- Live sound reinforcement
Additional Requirements:
- Extended hours, including evenings and weekends will be required. Ability to regularly lift and/or move up to 25 pounds required
