In this role, you will act as the primary point of contact for corporate, private, and specialized aviation clients, supporting a wide range of flight operations including charter, business aviation, and air ambulance services. You will oversee end-to-end logistics, ensuring every detail of travel coordination is executed flawlessly, from flight arrangements to ground transportation and regulatory documentation. The role combines operational rigor with client-facing responsibility in a highly time-sensitive environment. You will collaborate closely with internal operations teams while also supervising junior coordination support. This is an opportunity to work in a dynamic aviation setting where accuracy, communication, and organization directly impact mission success. The position is fully remote with structured rotating shifts.
- Serve as the primary contact for corporate and aviation clients, ensuring responsive and high-quality communication throughout all stages of flight coordination.
- Plan and coordinate complete travel logistics, including air transport, ground transportation, catering, and accommodation arrangements.
- Prepare, validate, and manage customs and regulatory documentation for domestic and international flights.
- Support charter, private, and air ambulance flight operations in accordance with applicable aviation regulations and client requirements.
- Supervise and support assistant coordination staff, ensuring accuracy and efficiency in daily operational tasks.
- Perform post-flight administrative duties, including data entry, reporting, and operational follow-ups.
- Manage invoicing, purchase order tracking, and supplier account closure processes.
- Liaise with clients, vendors, and operational teams to ensure seamless execution of all flight-related services.
- Ensure compliance with aviation procedures and maintain high standards of service quality and operational accuracy.
- Fluency in both French and English (written and spoken) is required.
- Experience in aviation operations, charter coordination, air ambulance services, or related logistics environments.
- Strong understanding of Canadian and international customs processes and aviation operational requirements.
- Familiarity with Canadian aviation regulations (CAR 604, 703, 704) considered a strong asset.
- Proficiency with Microsoft Office Suite and comfort using operational management tools (e.g., FOS or similar systems).
- Strong organizational skills with the ability to manage multiple time-sensitive tasks simultaneously.
- Excellent communication and interpersonal skills, with a strong client-service orientation.
- Ability to work independently, take initiative, and demonstrate leadership in a fast-paced environment.
- High attention to detail, reliability, and strong problem-solving capabilities.
- Diploma or training in tourism, flight operations, logistics, or event management is an asset.
