Job Description
The Office Manager is responsible for overseeing the daily administrative operations of Boreas while supporting production, sales, customer service, purchasing, and accounting functions. This position ensures efficient office operations, maintains accurate records, coordinates communication between departments, and provides administrative support to leadership. The Office Manager plays a key role in ensuring the business operates efficiently while delivering exceptional service to customers.
Essential Duties and Responsibilities:

Manage the daily operations of the office and administrative staff.

Oversee office procedures and implement improvements to increase efficiency.

Coordinate communication between the production, sales, service, and administrative teams.

Assist with customer inquiries, order processing, scheduling, and follow-up.

Maintain customer files, vendor records, and company documentation.

Support purchasing by coordinating office and operational supply orders and maintaining inventory records.

Assist with accounts payable, accounts receivable, invoicing, payroll preparation, and other accounting functions.

Coordinate employee onboarding, personnel records, timekeeping, and other human resources administrative tasks.

Schedule meetings, training sessions, travel arrangements, and company events.

Maintain office equipment and coordinate repairs and maintenance as needed.

Prepare reports, spreadsheets, and other documentation for management.

Ensure compliance with company policies and maintain confidentiality of employee, customer, and company information.

Support inventory tracking and documentation related to freeze dryer manufacturing and parts.

Assist with warranty documentation, service records, and customer correspondence.

Perform other administrative and operational duties as assigned.
Qualifications:

High school diploma or equivalent required; associate's or bachelor's degree in Business Administration or a related field preferred.

Three or more years of office management or administrative leadership experience.

Experience in manufacturing, industrial, or equipment-related industries is preferred.

Strong organizational and multitasking skills with exceptional attention to detail.

Proficiency in Microsoft Office Suite and business software, including accounting or ERP systems.

Excellent verbal and written communication skills.

Ability to prioritize multiple projects in a fast-paced environment.

Strong customer service, leadership, and problem-solving skills.

Ability to maintain confidentiality and exercise sound judgment.
Must be able to type over 40 WPM.
Competent to advanced in Microsoft suite including word, excel, OneDrive, and digital filing.
Familiar with ERP and/or CRM systems.
QuickBooks or similar accounting software experience.
Physical Requirements:

Ability to sit, stand, and walk throughout the workday.

Ability to lift up to 25 pounds occasionally.

Ability to operate standard office equipment, including computers, printers, telephones, and scanners.
