Summary:
The Ponca Tribe of Nebraska is a federally recognized Tribe with its ancestral homeland located in Niobrara, NE. The Tribe does not have a reservation in the classic definition; rather, the Ponca Restoration Act defined its jurisdiction as a ‘Service Delivery Area’ comprised of 15 counties throughout parts of Nebraska, Iowa, and South Dakota. Within its Service Delivery Area, the Tribe offers a broad range of health, social, educational, and cultural services.
The Patient Access & Benefits Supervisor is responsible for the oversight, coordination, and supervision of front office operations for Ponca Health Services across multiple clinic locations. This position supervises registration, scheduling, and patient benefits staff to ensure efficient patient access, exceptional customer service, accurate insurance verification, and compliance with organizational policies and payer requirements.
The Patient Access & Benefits Supervisor oversees daily patient access workflows, staff training, onboarding, scheduling coordination, and quality assurance activities while also serving as a subject matter expert for insurance eligibility, alternate resources, and benefits coordination. This position works collaboratively with clinical and administrative leadership to improve patient experience, operational efficiency, and revenue cycle performance.
Essential Responsibilities and Duties
Leadership & Supervision
- Supervise and coordinate daily operations of registration, scheduling, and patient benefits staff across all clinic locations.
- Provide leadership, training, onboarding, coaching, and performance management for front office staff.
- Develop staff schedules and ensure adequate coverage for all clinic locations.
- Monitor workflow efficiency and implement process improvements to support patient access and customer service goals.
- Assist with hiring, evaluations, disciplinary actions, and staff development in coordination with leadership and Human Resources.
Patient Access Operations
- Oversee patient registration, scheduling, insurance verification, and eligibility processes.
- Ensure accurate collection and documentation of demographic, insurance, and third-party payer information.
- Monitor scheduling practices to support clinic productivity and patient access standards
- Address and resolve patient concerns related to scheduling, registration, and benefits coordination.
- Ensure compliance with organizational policies, payer requirements, HIPAA, and applicable regulations.
Benefits Coordination
- Serve as a resource regarding Medicare, Medicaid, Marketplace insurance, VA benefits, PRC, and alternate resources.
- Assist patients with eligibility, determination and completion of insurance or benefit applications as needed.
- Maintain insurance portal access and ensure staff are trained on payer systems and procedures.
- Coordinate with internal departments and external agencies to support continuity of care and access to services.
Administrative & Operational Support
- Monitor quality assurance measures and reporting related to patient access and benefits coordination.
- Maintain required reports, documentation, and operational records.
- Participate in organizational meetings, committees, and improvement initiatives.
- Other duties as assigned.
Relationships and Authority:
This position provides direct supervision to Patient Access staff, including Registration, Scheduling, and Patient Benefits personnel across all Ponca Health Services clinic locations. The Patient Access & Benefits Supervisor has authority to coordinate staffing assignments, provide training and evaluations, recommend disciplinary action, and oversee daily front office operations to ensure efficient patient access and high-quality customer service.
Although based at the primary clinic location, this position provides operational oversight and support to all Ponca Health Services clinic sites. Regular travel to satellite clinic locations is required to support staff supervision, workflow consistency, training, quality assurance, and operational needs. Travel to other clinic sites will occur at least monthly and more frequently as necessary to meet organizational and operational demands.
Working Environment and Physical Demands:
Physical requirements include carrying/lifting up to 5 pounds, frequently; up to 10 pounds, regularly; and up to 25 pounds, occasionally. Visual acuity, speech and hearing; hand and eye coordination and manual dexterity necessary to drive an automobile and operate computer keyboard and basic office equipment; subject to carrying, lifting, twisting and reaching to perform essential job functions. Working conditions are primarily in an office environment with regular travel to other locations.
At times staff may be required to work with patients/clients who are in crisis and demonstrate empathy, understanding, respect, and advocacy while remaining calm in stressful situations
Qualifications:
Minimum:
- Associate degree in healthcare administration, business, public health, or related field OR equivalent combination of education and experience.
- Three years of experience in healthcare registration, patient access, insurance benefits, or medical office operations.
- Two years of supervisory or leadership experience.
- Knowledge of insurance verification, third-party payer requirements, and patient access workflows.
- Strong organizational, communication, and customer service skills.
- Experience with electronic health records and scheduling systems.
- Proficiency with Microsoft Office applications.
- Successfully pass drug and alcohol testing, education, character, MVR,and criminal background checks.
- Ability to travel between clinic locations.
Preferred:
- Bachelor’s degree in healthcare administration or related field.
- Experience supervising multi-site clinic operations.
- Experience working with Native American populations or Tribal health organizations.
- Knowledge of Indian Health Service and Public Law 93-638 operations.
- Experience with quality improvement or revenue cycle processes.
Preference will be given to Ponca Tribe of Nebraska members or members of a federally recognized Tribe. However, all qualified individuals are eligible.
