Job Description

Summary:

This position is responsible for providing diversified and proactive support to the process of originating residential mortgage loans. The Residential Relationship Specialist III (RRS III) will assist the Mortgage Experts, Regional Leader(s), and/or the Residential Lending Officer with customer and administrative support. The RRS III will proactively provide direct sales support and coordinate internal and external communications. The RRS III actively leads within the loan workflow process. The RRS III assumes full ownership and responsibility for all administrative and support processing for loans from application to closing. The RRS III acts as the liaison between the Mortgage Expert and customers, acting as the point of contact for established customers. The RRS III additionally acts as an integral teammate between mortgage lending, credit services, and loan operations departments to enhance communications, provide support in documentation gathering, and answer applicable questions. The RRS III will utilize CRM documentation and tracking for regional and/or segment-wide sales and prospect activities. This role may coordinate, schedule, or take minutes for committee or other internal meetings.


Essential Functions:

  • Understand all relevant bank lending policies, procedures, and regulations and perform duties in such a way as to maintain compliance with stated standards and/or acts.
  • Set up, manage, and provide ongoing maintenance to electronic customer files.
  • Monitor application pipeline for compliance with applicable regulations, including Reg B, TIL, ECOA, HMDA, and Fair Lending.
  • Prepare and ensure accuracy of truth and lending disclosures to borrowers as required by applicable residential mortgage lending regulations.
  • Actively collaborate with Mortgage Experts, Credit Operations, and Residential Mortgage Underwriters to transition loans from application to closure.
  • Proactively participate throughout the loan workflow process by entering new loan requests in the loan origination system, submitting new loan requests for analysis, conducting research on borrower, guarantor, and collateral, providing applicable disclosures, and completing due diligence based on the loan structure and collateral.
  • Act as a subject matter expert and provide both training and support as applicable.
  • Prepare the loan for credit action, set up client credit files, and submit the credit for underwriting. Maintain client credit files throughout the process.
  • Manage the loan closing process, with guidance from the Mortgage Expert, ensuring that all conditions of loan approval are satisfied and documented prior to closing and funding of the loan. Assumes ownership of preparing the commitment documentation, working with the CRM on presenting the offer, clearing conditions to close, and coordinating the loan documentation package.
  • Initiate and maintain communication with appropriate stakeholders in the loan closing process, including attorneys, accountants, closing agents, insurance agents, realtors, and borrowers.
  • Schedule loan closings and coordinate with pre-closing.
  • Order and review loan documents for accuracy and completeness to ensure all documents are properly executed by the Mortgage Expert. Disburse loan proceeds (if applicable), and close out workflow.
  • Complete the process for adverse/withdrawn loans.
  • Oversee portfolio maintenance and servicing.
  • Assist in pending loan issues with other departments.
  • Assist customers with questions, payments, advances, and loan inquiries.
  • May assist with the distribution of web applications and leads to Mortgage Experts.
  • May assist with monitoring of prospect pipeline for disclosures due, aging applications, and general eConsent compliance.
  • Prepare documents in Word and Excel as requested.
  • Support the achievement of residential lending department KPIs for loan volume and quality of processing:
    • Delivery of application disclosures within three business days of application date;
    • Accurate completion of submission to credit (monitored by errors and completeness of application); and
    • Error rate on loans closed.
  • Perform other duties needed to help drive to our Vision, fulfill our Mission, and abide by our Organization’s Values.

Required Education and Experience:

  • 4-6 years of relevant experience.
  • High School Degree or GED Required.
  • Associate’s degree and/or graduate of a professional secretary or administrative assistant school preferred.
  • Experience within a residential mortgage lending environment.
  • Advanced understanding of MS Office (PowerPoint, Word, and Excel).
  • Sound judgment and problem-solving abilities.
  • Exceptional telephone etiquette.
  • Ability to effectively prioritize and handle several demanding tasks simultaneously.
  • Must be able to maintain confidentiality and possess excellent communication skills.
  • Familiar with various filing systems – document imaging.

There are no Supervisory responsibilities for this position.

Hourly Rate: $26.96/hr. - $35.65/hr.

Pay Transparency:

Salaries may vary based on geographic location, market data, and individual skills, experience, and education. This role is incentive-eligible, with payment based on company, business, and/or individual performance.

Work Environment:

This job operates in a professional work environment. This role routinely involves standard office equipment, including computers, monitors, mouse, keyboards, phones, printers, scanners, photocopiers, filing cabinets, calculators, and fax machines. Due to the physical location of this position, ringing phones and people conversing can make it difficult to hear at times, which can be easily distracting.

Position Type and Expected Hours of Work:

This is a full-time position. Flexibility in schedule is required, particularly when meeting deadlines, and is crucial, including possible periods of overtime.
