About This Position
Job Title: Purchasing Specialist
Employment Type: Full-Time Exempt
Schedule: Monday–Friday, 8:00 a.m. – 5:00 p.m / Onsite (not remote)
Position Summary
The Purchasing Agent is responsible for sourcing and procuring paper, materials, and supplies at competitive pricing while ensuring timely delivery and appropriate quality standards to support production and client needs.
Key Responsibilities
- Review job specifications to determine material requirements; recommend appropriate materials and verify availability against current inventory.
- Manage just-in-time (JIT) purchasing to maintain optimal inventory levels and minimize risk of stock outages.
- Monitor and review assigned inventory items regularly; forecast material needs based on production schedules and revisions.
- Support manufacturing, sales, and client services teams with purchasing and inventory-related needs.
- Maintain accurate purchasing and inventory records in EFI Pace and Microsoft Excel.
- Provide backup support to other purchasing team members as needed.
- Negotiate pricing with suppliers and provide cost estimates for non-contract items.
- Handle claims resolution and processing with vendors.
- Research and recommend alternative products or suppliers when appropriate.
- Build and maintain professional relationships with suppliers.
- Respond to inquiries about scheduling, operations, and management regarding assigned commodities.
- Perform other duties as assigned to support business operations.
Qualifications
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Ability to adapt to changing business and client needs.
- Proficiency in Microsoft Excel; experience with ERP systems (EFI Pace preferred) is a plus.
- Prior purchasing or supply chain experience preferred, ideally within manufacturing or print environments.
Compensation & Benefits
- Pay Range: $50,000 – $60,000 annually, depending on experience and qualifications.

Work Environment & Physical Requirements
- Primarily office-based role with frequent computer use.
- May require occasional communication with production floor staff and vendors.
