We are looking for a detail-oriented and organized Construction Project Administrator to support our Pacific Northwest operations team. This office-based OR Hybrid-based role is the administrative backbone of our project delivery process — managing documentation, coordinating communication between field teams and clients, tracking project schedules and budgets, and ensuring all project data is accurate and up to date in our systems. Key Responsibilities for the Project Administrator Role:
- Project Documentation & Administration: Maintain and organize project files, contracts, submittals, RFIs, change orders, and correspondence. Set up and manage projects NetSuite. Process subcontractor agreements, purchase orders, and vendor documents. Prepare closeout packages including warranties, lien releases, and final documentation.
- Scheduling & Coordination Support: Assist team in building and maintaining project schedules. Coordinate with field superintendents to track daily progress and flag schedule variances. Schedule meetings, site visits, and inspections, and communicate status updates to clients and stakeholders.
- Budget & Cost Tracking: Track project budgets, commitments, and costs in coordination. Process and verify subcontractor invoices and route for approval. Assist in preparing monthly billing, pay applications, and owner requisitions. Flag budget variances for review.
- Compliance & Quality Control: Collect and maintain subcontractor COIs, W-9s, and license documentation. Track permit status and ensure required documentation is on file prior to work commencing. Monitor compliance with ECC's safety, quality, and documentation standards.
- Communication & Reporting: Serve as a point of contact for client inquiries and route requests to the appropriate team member. Prepare and distribute weekly project status reports. Support team with proposal preparation, bid packages, and scope documents.
Qualifications for the Project Manager Role:
- Strong organizational skills with exceptional attention to detail
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams)
- Experience with construction management or project tracking software (Procore, NetSuite, or similar)
- Excellent written and verbal communication skills
- Ability to manage multiple projects simultaneously in a deadline-driven environment
- Understanding of construction processes, terminology, and documentation preferred
Requirements and Competencies for the Superintendent Role:
- 2–5 years of experience in a construction administrative, project coordinator, or similar office-based role
- Experience in exterior renovation, multifamily, or commercial construction preferred
- Familiarity with subcontractor management, lien waivers, and insurance compliance a plus
Work Environment: This role typically involves a mix of office work and on-site visits, often requiring the ability to work in varying weather conditions. May require extended hours or weekend work to meet project deadlines.
