Job Summary:
Responsible for providing administrative support to Management and administrative staff as requested. Create and manage an effective filing system for administrative staff. Maintain a high level of customer service while answering the phone in a timely manner and directing calls to the correct offices. Greet clients and visitors with a smile and connect them with the appropriate parties. Responsible for purchasing office related supplies and approved equipment for administrative staff. Manage company promotional item offerings to staff thru the company web store program. Organize and manage distribution of customer event tickets.
Requirements:- Provide Administrative assistance to executive and staff
- Travel Arrangements: Arrange flights, hotels, and rental vehicles for staff who travel.
- Handle Communications: Answer phones and emails, and compose documents like correspondence, presentations, and memos.
- Update Databases: Keep Concur, contact lists, and employee files up to date and correct
- Ordering: Office supplies, cleaning/sanitary products, shared kitchen supplies, business cards
- Web Store Management: maintaining accurate employee rosters, credit, and payroll deductions
- Promotional Items: Keep in stock a large variety of MCT gear for all locations and departments
- Organize promo bags for new hires and customers/vendors
- Organize and maintain documents both physically and electronically
- Send employees for random drug screenings quarterly
- Create user profiles in Concur. Ensure that all information internally is updated as well as on the employee bank account information side.
- Submit expense reimbursement for staff at all locations
- Submit and monitor per diem request for staff at all locations
- Assist in scheduling interviews between candidates, members of management, and HR.
- Printer equipment management. Assist in ensuring office equipment functions properly and arrange repairs/parts/toner when needed
- Liaise with building maintenance issues and manage office space logistics
- Manage Google Business platforms which controls our review responses and ownership over each locations information
- Project Support: Assist with the planning and execution of office projects, contracts, and initiatives
- Interdepartmental Coordination: facilitate communication between different departments to ensure smooth workflow and getting information to the correct contact
- Employee Recognition: Ordering and creating employee anniversary and birthday cards on a monthly basis and inputting information to Paylocity homepage.
- Fleet management: Vehicle and trailer registrations renewals for Midwest locations and title organization for the whole company. Keep records up to date on Asset Panda
- Submit expense reports on a monthly basis for charges on company card

- Ticket Management: facilitate and organize the outflow of tickets distributed through Ticketmaster for CHI Center events, Charles Schwab Field events, Nebraska Huskers games, UNO Hockey events, and Carolina Panther games
- Maintain petty cash for up front purchases
- Disseminate information to staff and management as it pertains to them
- Prepare and distribute internal communications, such as company newsletters.
- Maintain company website and social media presence utilizing Carrier’s brand guidelines
- Assemble binders of information for all departments for training/meetings/conferences.
- Regular and timely attendance.
- All other duties as assigned
Seasonally/Non-Frequent:
- Event Coordination: Organize company events, meetings, and conferences
- Contract Review/Audit: Yearly review of custodians, IT, Hotel Contracts, Web Store users, and vehicle assets.
Physical Requirements:
- Must be able to sit for extended periods, with occasional standing, walking, bending, twisting, stooping, and kneeling as needed.
- Ability to hear and respond to phone calls clearly
- Sufficient visual acuity to perform computer-based tasks and read printed materials
- Manual dexterity to type, write, and handle standard office equipment
