About the Job:

The Associate Registrar is responsible for overseeing the daily operations of the Office of the Registrar, ensuring the integrity, accuracy, and security of student academic records for both current and former students. This position manages the student information system, coordinates registration processes every eight weeks, evaluates transferable credits, supports degree audits, and ensures compliance with institutional and regulatory standards. The Associate Registrar also facilitates transcript processing, enrollment verifications, and scheduling operations while serving as a key liaison between departments to support student success.

Key Responsibilities:

  • Oversee daily operations of student records and registration processes for each 8-week term.
  • Maintain and audit course schedules, incorporating approved catalog updates.
  • Manage end-of-term processes including grade submissions, academic standing updates, and diploma preparation.
  • Conduct graduation audits, transfer credit evaluations, and program transfer requests.
  • Assist students with schedule changes, transcript requests, enrollment verifications, and portal navigation.
  • Ensure accurate maintenance of student records across internal systems.
  • Collaborate with Academic Advisors, Program Chairs, Deans, Financial Planning, and Admissions to address student status changes.
  • Prepare and distribute reports for academic leadership.
  • Additional duties as assigned.
Requirements:

Qualifications:

Required:

  • Bachelor’s degree from an accredited institution
  • Minimum of two years of experience in higher education student services, records, or registration.
  • Experience with student information systems such as Colleague and/or Canvas.
  • Experience in data entry and records management.
  • Strong attention to detail and time management skills.

Preferred:

  • Experience with Power BI, SharePoint, and Parchment services.
  • Working knowledge of FERPA regulations and higher education records standards.

Skills & Competencies:

  • Strong organizational and customer service skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Proficiency in Microsoft Office Suite.
  • Effective communication and problem-solving skills.
