About This Position
Position Summary
The Commercial Loan Operations Specialist supports the end-to-end processing, closing, funding, boarding and servicing of commercial loans and Home Equity Lines of Credit in accordance with bank policies, regulatory requirements, and internal procedures. This role ensures accuracy, completeness, and compliance throughout the post-approval lifecycle of commercial credit transactions, including new loans, renewals, modifications, and payoffs. This role works closely with Relationship Managers, Credit Administration, Loan Operations team members, and customers to ensure timely, accurate, and compliant loan transactions.
This position requires strong attention to detail, responsiveness, and the ability to manage a broad variety of commercial credit types while providing high-touch service to commercial customers.
This is a full-time temporary position.
Key Responsibilities
Loan Processing & Documentation
- Review approved commercial loan packages for completeness and adherence to credit approval terms.
- Prepare and review documentation for commercial real estate (CRE), commercial & industrial (C&I), construction loans, lines of credit, renewals, modifications and Home Equity Lines of Credit.
- Coordinate closing requirements with lenders, credit officers, attorneys, title companies, and customers.
- Order and track third-party reports (title, flood determinations, insurance).
- Ensure proper collateral perfection, including UCC filings, real estate recordings, and guarantor documentation.
Loan Document Preparation, Closing & Funding
- Clear pre-closing conditions and verify compliance with approval terms.
- Prepare commercial loan documentation packages and coordinate closings with Borrower, legal counsel and Team.
- Fund loans, advances, and construction draws in the core system.
- Balance and verify funding entries to ensure accuracy and internal control compliance.
- Book loans on core system and provide secondary review for loans booked by other Loan Operations teammates.
Compliance & Risk Management
- Ensure loan files meet internal policy standards and regulatory requirements.
- Maintain compliance with regulatory requirements (e.g., Reg B, Reg Z where applicable, BSA/AML guidelines).
- Confirm proper documentation retention and imaging in accordance with bank policies.
- Perform post-closing quality control reviews to ensure loan file integrity.
- Maintain documentation tracking and ticklers (insurance, financial statements, covenants).
- Assist with internal and external audits by providing complete and organized loan files.
- Identify and escalate documentation or compliance exceptions.
Ongoing Loan Servicing Support
- Process loan renewals, extensions, modifications, and annual reviews.
- Process loan payments including wire and batch payments.
- Prepare payoff quotes and coordinate lien releases.
- Update loan system data and maintain accurate records.
- Provide back-up support for other Loan Operations personnel which may include cross-training.
- Respond to internal and customer inquiries regarding loan transactions and payments.
- Maintain accurate loan data within the loan origination and servicing systems.
- Maintaining the highest level of confidentiality with all information obtained.
- Promoting the bank’s products and services.
- Representing the Bank in a manner that maintains and expands positive relations with all customer, potential customers and co-workers.
- Performing as a team member in allocating and coordinating the workflow.
- Contributing to the fulfillment of department and company objectives and goals.
- Complying with all department and company policies, procedures and regulations.
- Other duties as assigned.
Education & Experience
- Associate’s or Bachelor’s degree in Business, Finance, or related field preferred.
- 5-7 years of experience in commercial loan closing and processing or loan operations.
- Experience with commercial loan documentation systems and core processing platforms (Finastra/Phoenix and/or Jack Henry/Silverlake preferred).
- Experience in a community bank or smaller financial institution preferred.
Knowledge & Skills
- Strong understanding of commercial loan structures (C&I, CRE, construction, lines of credit).
- Understanding of regulatory and compliance considerations in commercial lending.
- High attention to detail and strong organizational skills with the ability to manage multiple loans and tasks simultaneously while in a deadline-driven environment.
- Proficiency in Microsoft Office (Excel, Word, Outlook and Teams).
- Strong written and verbal communication skills and a collaborative team mindset.
- Solid understanding of commercial loan documentation, loan closings and collateral requirements is preferred.
- Familiarity with UCC filings, lien perfection, real estate recordings and title/insurance review.
