Position Summary: The Front Office Intake Support Specialist plays a vital role in supporting the daily operations of client-facing programs. This position ensures smooth administrative processes, supports intake and documentation workflows, and provides a welcoming and organized environment for clients, visitors, and staff. The ideal candidate is detail-oriented, proactive, and passionate about supporting community-based services.

RESPONSIBLITIES

  • Manage daily mail: check, sort, and distribute incoming and outgoing correspondence.
  • Create and maintain certificates for graduating clients.
  • Deliver general administrative support to program and clinical teams.
  • Serve as a backup for ordering supplies for both program and clinical departments.
  • Greet and assist clients and visitors, ensuring a welcoming and professional environment.
  • Navigate clients and guests to appropriate resources and staff.
  • Assist with client intakes by storing clients belongings in designated areas.
  • Organize and maintain intake and mental health folders.
  • Maintain and update program documentation and records.
  • Organize and add new program classes to schedules and systems.
  • Purchase and distribute bus tickets for clients as needed.
  • Process incoming inventory related to clients for approved items.
  • Process and ordering of Operation and Clinical Supplies.
  • Ensure accurate tracking and documentation of inventory and program materials.

QUALIFICATIONS AND REQUIREMENTS

Education:

  • High school diploma or equivalent required

Experience:

  • 2+ years of experience in administrative support, program coordination, or client services.
  • Strong organizational and time management skills.
  • Excellent interpersonal and communication abilities.
  • Proficiency in Microsoft Office Suite and basic data entry systems.
  • Ability to handle sensitive information with discretion and professionalism.

Licenses/Certificates/Registration:

  • Valid drivers license and insurance with 5 years licensed driving required
