Operations Coordinator - Douglassville, PA

Position Summary: This Operations Coordinator position will have a major focus on Assets within the Northeast and Southeast Region. Will conduct and carry out projects in relation to ops, sourcing and asset team needs. This position will also be exposed and be expected to lead local operations needs.

Essential Job Functions:

Tier 1 Responsibilities:

  • Receives training and performs duties in several asset department systems such as but not limited to Samsara, Microsoft 365, Holman, NetSuite, FIIX and PowerBI.
  • Learns staff functions, operations, management viewpoints and company policies and practices that affect each phase of business.
  • Monitors performance progress with management and key trainers.
  • Observes experienced workers to acquire knowledge of methods, procedures, and standards required for performance of departmental duties.
  • Receives training in functions and operations of related departments to facilitate subsequent transferability between departments and to provide greater promotional opportunities
  • CWO’s Creations and expense trackers upkeep
  • Accidents/Safety Record Keeping
  • Asset Preventive Maintenance Management
  • Holman Expense analyst
  • Toll Expense Analyst
  • Fuel Expense Analyst
  • WEX Card Expense Analyst
  • Asset Verifications (annual and constantly maintaining accurate reflecting of what’s active or on site or pending disposal and what programs we need for each asset)
  • Asset Transfers
  • Asset Disposals
  • New Asset Additions
  • Permits new and renewals (ITFA, Insurance, Registration, NY HUT, A901)
  • PowerBI troubleshooter
  • Samsara Troubleshooter (Equipment ordering, equipment verification, and reporting)
  • Misc. Verification Reports from Corporate (Missing Mileage, Tank Sizes, Subclasses, Shipping Information, Tax Exceptions)
  • Answer the phones; direct calls; take messages and distribute
  • Establishing a helpful environment with onsite vendors/customers/other public/private entities.
  • Pick up and distribute mail every day (if necessary)
  • Post and deliver mail to the post office at the end of each day (if necessary)
  • Maintaining and ordering all office, kitchen, cleaning, shipping supplies
  • Package, label and send UPS and FedEx shipments
  • Responsible for handling internal and external communication, both written and oral. This comprises of answering phones in a courteous manner, ensuring messages reach the respective party and delivering faxes/emails/physical mail in a timely manner.
  • Continue to gain knowledge of multiple facilities permits and reporting requirements, these facilities include but are not limited to ROC, RC2, NY1, NY2, NY4.

Tier 2 Responsibilities:

  • Pull compost samples and ship them accordingly to certified labs.
  • Compost data collection and tracking.
  • Operate and troubleshoot onsite scales and software. Maintain organized records of any issues encountered.
  • Process and troubleshoot onsite landscaper transactions on onsite credit card purchasing system. Maintain organized records of all transactions at the facility this includes authorized agencies that do not necessarily have to go through the scales.
  • Create/Distribute/Record Denali Bill of Ladings for any sales of Mulch and Compost brokered by Denali.
  • Assist in “New Landscaper” applications per Denali requirements. Maintain organized records of all landscapers approved to come onsite.
  • Assist in the up keep/creation/distribution of safety meeting programs for multiple facilities which include but are not limited to NY1, RC2, ROC, BUR, FL2, PHX, ANN.
  • Maintain and upkeep a record of up to date Certificate of Insurances for required vendors for multiple facilities which include but are not limited to NY1.
  • Create and maintain organized Purchase Orders for multiple facilities which include but are not limited to NY1, RC2, ROC, NY4.
  • Assemble daily/monthly/annual reports for multiple facilities which include but are not limited to NY1, RC2, ROC, NY4. These include the following but are not limited to:

Minimum Requirements:

  • Strong written, verbal, analytical and presentation skills
  • Ability to interact effectively with a wide range of staff throughout the company
  • Position requires proficiency in Word, Excel, Access an Extensive travel may be required depending upon the position.
