We are currently seeking a proactive, detail-oriented, and dependable Property Management Associate to support our dynamic property management team.

Position Summary

The Property Management Associate will play a critical role in supporting the day-to-day operations of two property managers. This individual will serve as a key liaison between residents, building staff, and internal departments, helping to ensure the seamless execution of property management activities while upholding the highest standards of customer service and operational efficiency.

Key Responsibilities

Administrative & Operational Support

• Assist two Property Managers with daily administrative tasks and property-related duties

• Manage and organize documentation, correspondence, and resident files

• Respond to internal and external emails in a timely and professional manner

• Answer and route incoming phone calls appropriately

• Maintain and update Outlook board distribution lists and MDS system data

• Coordinate move-ins/outs, including elevator reservations and refund processing

• Assist with the hiring and onboarding of building staff, coordinate interviews

• Training new hires in internal processes as needed

Communication & Resident Coordination

• Serve as the primary point of contact for residents regarding routine concerns, requests, or complaints

• Schedule and coordinate resident repairs and maintenance needs with building staff

• Draft and distribute memos, notices, and email blasts

• Support board communication, including scheduling and distributing documents

Finance & Vendor Management

• Enter purchase orders (POs) and process check requests with required signatures and documentation

• Prepare and follow up on condo questionnaires

• Process and verify invoices, chase RapidPay work tickets, and follow up on vendor payments

• Maintain records of garage, storage, gym, and bicycle rentals

• Track arrears and submit tenant ledgers to legal when necessary

• Assist with payroll tax filings and expense reports as needed

• Handle new vendor onboarding, including COI verification and packet preparation

Meeting & Compliance Support

• Prepare for and attend monthly and annual board meetings, draft and upload meeting minutes

• Participate in weekly PM meetings, corporate meetings, PM/FA meetings, and 1:1 meetings with management

• Assist with annual HPD registrations and compliance-related documentation (e.g., Conflict of Interest, Elevator AOC follow-up)

• Collect and organize alteration documentation for units

• Support CAP CC communications to supers and board members

Special Projects & Site Support

• Conduct site visits as needed to inspect building conditions or follow up on requests

• Assist in coordinating and executing annual meeting preparations

• Support with HUB and IT/Accounting ticket submissions

• Audit building amenities (e.g., gym, bike room, storage) for compliance and record accuracy

Qualifications & Requirements

Experience

• Minimum of 1–2 years of experience in property management, co-op/condo administration, or related real estate support roles preferred

• Familiarity with NYC real estate operations and regulatory requirements is a plus

Skills & Competencies

• Exceptional organization and time management skills with the ability to handle multiple tasks

• Strong verbal and written communication skills; customer service focused

• Demonstrated ability to work collaboratively in a team-oriented environment

• Self-starter with a proactive attitude and high attention to detail

• Proficient in Microsoft Office Suite (Word, Outlook, Excel); experience with MDS, RapidPay, and property management software preferred
