Position OverviewEarlham College invites applications for a team-oriented individual with excellent communication and organizational skills to serve as a full-time Assistant Registrar. The Assistant Registrar will assist and provide support to the Registrar and Associate Registrar to ensure the successful and efficient day-to-day operations of the Registrar's Office in the areas of academic records, registration, credential processes, advising, and related activities. Cross-training in many aspects of the Office of the Registrar will be required.
Primary Duties & Responsibilities- Serve as the first point of contact for the department: provide information and respond to inquiries from students, faculty, parents, and the general public.
- Advise and communicate effectively with a diverse faculty and student body regarding academic policies and procedures related to student records.
- Provide academic advising assistance to faculty and staff.
- Oversee the management of confidential data contained in student academic records, including, but not limited to, grade and name changes; handle sensitive and confidential information in accordance with federal regulations and institutional requirements.
- Process student course registration requests, change of enrollment/information, and other student-related enrollment activities; update student records as documentation is received.
- Process change of advisor, major and minor declaration forms, and maintain information in the student information system.
- Complete all custom student enrollment verifications and form letters, including loan deferments, letters of anticipated graduation, and degree verifications.
- Oversee leave and withdrawal processes and maintain information.
- Oversee outgoing transcript requests for current students and alumni via National Student Clearinghouse.
- Coordinate process and serve as primary liaison to academic departments and programs conveners for senior capstone reporting.
- Oversees Spring Awards Convocation.
- Manage the Registrar’s Office Inbox to ensure all responses to student, staff, and faculty inquiries are complete in a timely manner.
- Serve as primary supervisor for student workers.
- Participate in Commencement planning and execution. Duties include preparing diplomas and covers; helping with rehearsal and student line-up.
- Work closely with the Registrar to assess projects and tasks within assigned areas; stay up-to-date on industry trends, best practices and emerging technology; and make recommendations for improvement.
- Participate in training and professional development activities.
- Other duties as assigned
- 1-3 years administrative experience in records administration and/or database management (direct experience in higher education setting preferred).
- Completion of some college-level coursework is preferred; equivalent experience will also be considered.
- Experience with managing large data sets using spreadsheets
- Previous experience working with student information systems (Ellucian Banner is a plus).

- Comfort working with technology and ability to learn new applications quickly.
