Job Description

We are seeking a highly organized and proactive Order Flow Coordinator responsible for managing and tracking sales and repair work orders as they move through our MRO shop.

This role focuses on internal workflow coordination, ensuring orders progress through each stage of the shop process while maintaining accurate documentation and status visibility. The position requires someone who is detail-oriented, comfortable following up across departments, and able to identify and resolve issues that could delay order completion.

The ideal candidate is a critical thinker who takes initiative, anticipates bottlenecks, and actively works to keep orders moving.

Key ResponsibilitiesWork Order Tracking & Coordination
  • Track sales and repair work orders throughout the MRO shop lifecycle.

  • Maintain visibility into order status, priorities, and potential delays.

  • Proactively follow up with production, receiving, and shipping teams to obtain updates and keep work progressing.

  • Identify stalled orders or workflow issues and take steps to resolve delays or escalate when necessary.

Order Creation & Documentation
  • Create and process sales orders and repair orders within the ERP system.

  • Generate and maintain traceability documentation using ERP and Adobe tools.

  • Verify accuracy of part numbers, customer information, and order details.

  • Ensure all required paperwork, bags, tags, and documentation are accurate and complete.

Workflow Management
  • Maintain organized tracking of open orders and prioritize tasks based on urgency and operational needs.

  • Process a minimum of five (5) orders per day, increasing as order volume grows.

  • Support the department by handling coordination tasks that help maintain operational flow.

Operational Support
  • Assist with receiving parts, purchase order creation, and shipment coordination when required.

  • Communicate internal order status updates when needed to ensure alignment across teams.

QualificationsRequired
  • 2+ years of experience in order coordination, work order tracking, operations support, or production coordination

  • Experience tracking work or orders through multiple internal departments

  • Strong attention to detail and documentation accuracy

  • Ability to prioritize and manage multiple tasks simultaneously

  • Strong organizational and problem-solving skills

  • Proficiency with Microsoft Excel

  • Ability to exercise sound judgment and work independently

  • Comfortable following up across teams to maintain workflow

Preferred
  • Experience working with ERP systems

  • Experience in manufacturing, MRO, repair operations, or production environments
