Join Our Team as a Referral Coordinator (Part-Time)!

Eagle Physicians & Associates is seeking a dynamic, professional, and self-motivated Referral Coordinator to join our team at Eagle Family Medicine @ Guilford College.

The ideal candidate will have a minimum of two years of medical office experience and possess excellent customer service, communication, and organizational skills. This position plays a vital role in creating a positive patient experience while ensuring efficient referral processes.

Schedule

  • This shift will consist of 4 seven hour days, 28 hours weekly.
  • The Practice Administrator will determine the day off based on office needs.
  • Mon - Friday 8:00 AM - 5:00 PM, No Weekends


Qualifications

  • Minimum of two years of medical office experience required.
  • Strong customer service and interpersonal skills.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and work effectively in a fast-paced environment.
  • Proficiency with electronic medical records (EMR) systems and standard office software preferred.

Support staff hired at a 0.50 FTE or greater on or after April 1, 2024, are eligible for our structured retention bonus program:

  • $750 at 6 months
  • $750 at 12 months
  • $1,000 at 18 months
  • $1,000 at 24 months


Paid Maternity/Paternity Leave

After one year of employment and 1,250 hours worked, Eagle provides up to two weeks of paid maternity/paternity leave for the birth or adoption of a child. Leave is prorated based on FTE status.

Key Responsibilities

  • Coordinate and process patient referrals as directed by providers to ensure timely continuity of care.
  • Work closely with providers to ensure referrals meet both the patient's clinical needs and insurance requirements.
  • Complete referral documentation accurately and obtain all necessary authorizations and approvals.
  • Coordinate with specialty offices and healthcare organizations to schedule referrals and facilitate patient care.
  • Ensure all pertinent medical records, test results, and supporting documentation are forwarded to the receiving specialist or facility.
  • Monitor referral status and follow up as needed to ensure completion and timely communication between providers and patients.
  • Maintain accurate documentation of referral activities within the electronic medical record (EMR) system.
  • Communicate effectively with patients regarding referral processes, appointment scheduling, and required documentation.
  • Collaborate with providers, clinical staff, insurance carriers, and external healthcare partners to resolve referral-related issues.
  • Maintain strict compliance with HIPAA regulations and safeguard Protected Health Information (PHI) and confidential business information.
  • Demonstrate professionalism, respect, courtesy, and compassion in all interactions with patients, coworkers, providers, and external partners.
  • Display a positive attitude and team-oriented approach with a willingness to assist wherever needed.
