Job Summary

The Administrative Coordinator provides administrative support that helps ensure the smooth day-to-day operation of the Coastal Fire & Integration office. This position serves as the first point of contact for visitors and incoming calls while providing support to the Service Coordinators, assisting with Accounts Receivable backup, maintaining office organization, and performing a variety of administrative responsibilities.

The ideal candidate is organized, detail-oriented, customer-focused, and enjoys working in a fast-paced, team-oriented environment.


Key Responsibilities Include: (But not limited to the following)

Office Administration
  • Greet visitors and create a professional, welcoming office environment.
  • Answer and direct incoming phone calls.
  • Maintain organized electronic and paper filing systems.
  • Order and maintain office supplies.
  • Assist with general office organization and administrative projects.
  • Perform other administrative duties as assigned.
Service Team Support
  • Provide administrative support to the Service Coordinators.
  • Assist with service documentation, scheduling support, and customer communications.
  • Help ensure work orders and related paperwork are completed accurately and in a timely manner.
Accounting Support
  • Provide backup support for Accounts Receivable activities.
  • Assist with organizing invoices, customer documentation, and payment records.
  • Support the accounting team with administrative tasks as needed.

Who You are

  • High school diploma or equivalent required.
  • Two or more years of administrative, office support, receptionist, or customer service experience preferred.
  • Excellent organizational skills with strong attention to detail.
  • Professional verbal and written communication skills.
  • Ability to prioritize multiple responsibilities while meeting deadlines.
  • Positive attitude with a collaborative, team-first approach.
  • Ability to maintain confidentiality and exercise sound judgment.
Technical Skills
  • Proficiency with Microsoft Office, including:
    • Excel
    • Word
    • Outlook
  • Comfortable learning new software and office systems.
  • Accurate data entry and document management skills.
