Position Title: Office Clerk
Employment Classification: Full Time / Hourly / Non-Exempt
Reports to: People & Culture Partner
Department: People & Culture (HR)
Position Summary:
The Office Clerk serves as the first point of contact for our organization, welcoming visitors, staff, and youth with a warm and helpful attitude. This role plays a key part in creating a positive office environment by guiding guests, answering inquiries, and ensuring smooth front-desk operations, including handling correspondence and managing phone calls. Additionally, the Office Clerk provides essential support to the Finance team through tasks such as invoice entry, mail processing, deposits, and daily revenue tracking.
Major Areas of Responsibility:
- Engages visitors by greeting, welcoming, and directing them appropriately.
- Assist donors with completing In-Kind forms.
- Answer all the Foundation main calls and transfer accordingly.
- Keeps a safe and clean reception area by complying with procedures, rules, and regulations.
- Sort and distribute mail and packages daily.
- Inventory and restock office supplies and staff kitchen supplies as needed.
- Inventory and restock first aid kits monthly.
- Review and approve conference room requests.
- Maintain check and package release log.
- Prepare and send out the daily revenue log.
- Mail and distribute all A/P checks after the check runs.
- Maintain the Postage Meter and the postage usage report.
- Code and enter invoices in WebPortal daily.
- Maintain the A/P snapshot.
- Assist the Finance Team and Development Team as needed.
- Additional duties as assigned by direct supervisor.
Knowledge, Skill, and Experience Requirements:
- 2 years of experience, preferably in the nonprofit industry.
- Bilingual Spanish preferred.
- High School diploma required.
- Proficient in Microsoft Office applications.
- Strong written and oral communications skills.
- Possess strong organizational and time management skills.
- Possess a valid California driver’s license and proof of automobile insurance. Position requires DMV clearance.
- Pre-employment screenings include criminal background check, FBI/DOJ fingerprinting, TB test, drug screen, and previous employment verification.

Essential Qualities:
- Understanding of and passion for the Foundation’s mission, vision, and values.
- Enjoys working directly with youth, volunteers, community partners, etc.
- Passion for, and enjoys working directly with, TAY (Transitional Age Youth) population.
Working Environment/Physical Requirements:
- Working environment is the reception area of a professional office, which may have frequent interruptions during busy periods of the workday.
- Physical requirements include standing, sitting, typing, bending and lifting up to approximately 25 lbs. (i.e. delivered packages, office supplies, cases of water bottles, etc.). Frequent use of hands and fingers to handle paperwork, operate office equipment (e.g., keyboard, mouse, phone). Clear vision is required for reading documents and using a computer screen. Ability to communicate effectively in person, over the phone, and via email.
