Design & Engineering Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Design & Engineering Coordinator based in the United States.

This role supports senior design and engineering leadership across a concurrent, multi-project portfolio.
You will coordinate design reviews, document control, standards governance, vendor processes, and project workflows.
The position requires hands-on ownership of drawings, specifications, submittals, RFIs, compliance trackers, and review documentation.
You will help keep multidisciplinary teams aligned, ensuring deliverables, comments, and action items move forward on schedule.
The role combines technical project coordination with executive support in a fast-paced, detail-driven environment.
Your work will directly improve document accuracy, review efficiency, communication, and project execution across multiple teams and time zones.
The ideal candidate is highly organized, proactive, technically fluent, and comfortable driving follow-through without constant supervision.

Accountabilities:
  • Maintain project document structures, file naming conventions, revision controls, access permissions, and confidentiality requirements across SharePoint and project management platforms.
  • Log, distribute, and track drawing sets, specifications, submittals, RFIs, and design review comments, ensuring receipt, response, and closure are properly documented.
  • Issue and archive transmittals and maintain current-revision registers to prevent teams from working with superseded documentation.
  • Track design review cycles against stage-gate milestones and proactively identify slipping deliverables before they affect project schedules.
  • Maintain compliance and deviation logs, including OPR versus BOD tracking, RFI logs, and bid comparison matrices.
  • Assemble internal and tenant-facing review packages, including consolidated comment logs and response tracking.
  • Coordinate multidisciplinary and multi-time-zone design reviews, workshops, project kickoffs, and knowledge-transfer sessions.
  • Prepare meeting agendas, capture accurate minutes, and maintain action registers with clearly assigned owners and deadlines.
  • Drive action items through completion and escalate stalled deliverables or unresolved issues when necessary.
  • Support RFP and bid processes through distribution, bidder Q&A tracking, proposal intake, and comparison workbook preparation.
  • Onboard consultants and vendors to document platforms, file structures, and naming standards.
  • Maintain consultant contact registers, scopes of work, design team organization charts, and related project information.
  • Track candidate pipelines and interview scheduling for design and engineering positions.
  • Maintain, update, and version-control design standards, checklists, and templates, ensuring current materials are published and accessible to project teams.
  • Manage complex calendars across multiple time zones, including travel arrangements and itinerary coordination.
  • Prepare presentations, expense reports, correspondence, and other materials required by design and engineering leadership.
  • Within the first 90 days, establish consistent document structures, accurate action registers, reliable revision control, and a well-organized executive review queue across active projects.
Requirements:
  • 5+ years of experience supporting engineering, architecture, construction, data center development, or similar technical project teams.
  • Demonstrated experience with document control on active design or construction projects.
  • Working knowledge of drawing sets, specification sections, submittal and RFI workflows, and design-phase deliverables such as SD, DD, CD, and IFC.
  • Advanced proficiency with Microsoft Excel, PowerPoint, Word, Outlook, and SharePoint.
  • Experience with at least one AEC or construction technology platform, such as Procore, Autodesk Construction Cloud/BIM 360, Newforma, Sitetracker, Bluebeam Revu, or an equivalent solution.
  • Exceptional organizational skills, attention to detail, and follow-through, with the ability to independently drive action items to closure.
  • Clear and concise written communication skills, including the ability to accurately summarize technical project status for executive audiences.
  • Strong coordination and prioritization skills, particularly when managing multiple projects, stakeholders, deadlines, and time zones simultaneously.
  • Direct experience in data center or mission-critical facility development is preferred.
  • Familiarity with OPR/BOD frameworks, commissioning documentation, and deviation log methodologies is a plus.
  • Working knowledge of MEP, electrical, and structural terminology sufficient to route technical comments to the appropriate discipline.
  • Experience coordinating international teams and working across different code or regulatory environments is preferred.
  • A degree or certificate in architecture, engineering, construction management, or a related technical field is an advantage.
