Job Summary:
The Medical Assistant is an essential member of the outpatient care team at the St. Vincent de Paul Medical Clinic, supporting the delivery of patient-centered care within a Patient-Centered Medical Home model. Under the supervision of licensed providers, the Medical Assistant performs clinical and administrative support tasks, including centralized scheduling and eligibility coordination, front desk coverage, and back-office clinical duties. All levels are cross-trained to allow for a rotational model of roles in the clinic. As experience and competency increase, responsibilities may expand to include advanced clinical tasks, workflow coordination, and training support for other Medical Assistants, while maintaining a strong commitment to quality, safety, and the SVdP mission. This position may require travel between clinic locations to support operational and patient care needs.
Position Overview
Medical Assistants at SVdP operate in a rotational model integrating back-office clinical duties with centralized scheduling, eligibility coordination, and front desk coverage. All levels are cross-trained, with increasing independence and leadership expectations at each level.
Core Functions (All Levels)
- Clinical Support:Roompatients, obtain vitals, perform POC testing, document in EHR,assistproviders, prepare exam rooms.
- Centralized Scheduling: Schedule appointments using routing protocols, confirm visits, manage reminders, support schedule optimization.
- Centralized Eligibility: Collect and review required documentation, enter data accurately, trackassistanceapplications,identifySDOH barriers.
- Front Desk Coverage: Greet and check in/out patients, verify demographics, provide clinic information, support financialassistanceworkflows.
Medical Assistant I (Level 1)
Position Summary
Supports basic clinical operations under the direction of licensed providers in a free outpatient clinic.
Essential Duties and Responsibilities
- Performs basic MA duties with guidanceand direct supervision
- Accurately rooms patients and obtains vitals
- Follows infection control and safety protocols
- Documents accurately in the EHR with review
- Communicates professionally with patients and staff
- Understands scope of practice and escalation pathways
- Builds competency across all rotation areas.
Qualifications
- High school diploma or GED from an accredited institution
- Graduation from an approved medical assistant training program
- CPR/BLS certification
- Basic computerproficiencyto include Windows, MS Office, and the internet
- Bilingual (English and Spanish), both written and verbal, isrequiredper operational need.
Medical Assistant II (Level 2)
Position Summary
Performs MA duties with increased independence and supports clinic workflow efficiency.
Essential Duties and Responsibilities
- Functions independently across rotations
- Independently rooms and prepares patients
- Assistswith procedures and point-of-care testing
- Manages time effectively during high-volume clinics
- Manages moderately complex scheduling andeligibility cases
- Supports specialty clinics and volunteer providers
- Supports patient onboarding and workflowimprovement
- Troubleshoots routine workflow issues
- Maintains strong EHRproficiency
Qualifications
- 1+ years in medical assistant experience
- Proficiencyin advanced clinical procedures (ex. Phlebotomy, EKG, vaccine administration, specimen handling, Spirometer, etc.)
Medical Assistant III (Level 3)
Position Summary
Senior MA role providing advanced support, training assistance, and workflow coordination.
Essential Duties and Responsibilities
- Performs all MA I & II duties ata high level
- Highly independent and serves as workflow resource
- Supports onboarding and skills coaching for MAs
- Assistswith audits, chart reviews, and quality initiatives
- Oversees scheduleutilizationand complex eligibility cases
- Anticipates clinic flow challenges and proactively adjusts
- Mentors staff andsupportsquality improvement initiatives
- Precepts ormentors'students and volunteers
- Supports coordination across services (labs, imaging, referrals)
- Demonstrates strong judgment and professionalism
Qualifications
- 3+ yrs of medical assistant experience
- Strong understanding of clinical procedures and patient care practices (Training checklist )
Lead Medical Assistant
Position Summary
Provides functional leadership for the MA team while maintaining patient care responsibilities.
Essential Duties and Responsibilities
- Performs all MA III duties
- Coordinates MA assignments and daily coverage
- Ensures skills competencies and training completion
- Monitors protocol adherence andescalateissues
- Serves as liaison between MA team and leadership
- Supports performance feedback and corrective action
- Maintains patient care responsibilities
Qualifications
- 4+ years of Medical Assistance experience
- Advanced skills certifications and Management experience
Policy:
Medical Assistant advancement is based on demonstrated competencies, level of responsibility, and performance expectations rather than length of service. This is indicated by a skills checklist as signed by a direct supervisor.
Physical Requirements:
The ability to stand, walk, sit, bend, reach, and lift up to 50 pounds is required for this position.
