About This Position

HR Administrative Assistant: This 1.0FTE/Full-Time position is scheduled to work 8-HR day shifts Monday-Friday.

Compensation: Non-exempt, $28.91/HR-$41.30/HR

Job Summary:
The HR Administrative Assistant provides comprehensive administrative and operational support across all Human Resources functions, including recruitment, onboarding, employee records, compensation administration, and employee engagement initiatives. This role serves as a key quality-control partner by supporting data integrity within the various Human Resources systems.

Essential Duties and Responsibilities:
Administrative Support:

  1. Provide comprehensive administrative support to the HR team, including scheduling meetings, preparing correspondence, and creating employee HR documents.
  2. Maintain confidential employee personnel files in compliance with employment laws and regulatory standards (e.g., CMS, Joint Commission, state health department) adhering to HIPAA/healthcare privacy regulations and internal policies.
  3. Support regulatory surveys and audits by organizing and providing requested documentation.
  4. Support the monitoring and tracking of expiration dates for professional licenses, certifications, and mandatory training.

Data Integrity Support:

  1. Assist with data entry and maintenance in the HR Information System (HRIS).
  2. Verify accuracy, completeness, and compliance of HRIS data against supporting documentation for personnel transactions including new hire entries, compensation adjustments, status changes, etc.
  3. Identify and communicate discrepancies or errors to appropriate HR staff for correction.
  4. Perform and support audits, reporting, and data reconciliation efforts for human resources and related systems, including but not limited to benefits data, new hire data, employee demographic information, job and position data, compensation records, and other employment-related data, with a focus on accuracy, compliance, and process improvement.

Employee Engagement & Recognition:

  1. Assist with employee recognition, appreciation, and engagement programs.
  2. Help coordinate service awards, milestone recognition, and internal celebrations.
  3. Maintain records related to recognition initiatives and participation.

Customer Service & Communication:

  1. Serve as a first point of in-person contact at the HR Welcome desk for routine HR inquiries, directing employees to appropriate resources, etc.
  2. Provide courteous, professional, and confidential assistance to employees and managers.
  3. Support positive working relationships across departments.

Required Education and Experience:

  1. High school diploma or equivalent.
  2. Associate’s degree in Human Resources, Business Administration, or related field, preferred.
  3. One (1) or more years of experience in Human Resources. Healthcare experience, preferred.

Required Licenses, Certifications and/or Registrations:

  1. Professional human resources certification preferred (i.e.: PHR/SPHR, SHRM-CP/SHRM-SCP).

Required Knowledge, Skills and Abilities:

  1. Working knowledge of HR administrative processes and recordkeeping practices.
  2. Proficiency with HRIS systems, databases, and Microsoft Office applications.
  3. Strong attention to detail and commitment to data accuracy.
  4. Ability to review and verify information for completeness and compliance.
  5. Excellent organizational and time-management skills.
  6. Strong written and verbal communication skills.
  7. Ability to handle sensitive and confidential information with discretion.
  8. Ability to work independently and collaboratively in a team environment.
  9. Customer-service orientation with a professional and approachable demeanor.
  10. Ability to prioritize multiple tasks in a fast-paced environment.
