Key Responsibilities
Provide administrative and calendar support to management team (James, Marc)
Serve as the second line of defense for incoming calls after Customer Service Coordinator
Order and maintain inventory of office supplies and project materials
Take meeting notes and distribute summaries to relevant team members
Assist in purchasing for design-build projects and general manager needs
Verify receipt of purchased materials and ensure order accuracy
Conduct second-level review of Design-Build binders for completeness and clarity
Coordinate pre-production tasks such as equipment rentals and utility stake-out requests
Track and report ongoing IT issues; coordinate with vendors for resolution
Generate monthly, quarterly, and annual reports for company leadership
Maintain up-to-date and accurate customer files in company database
Respond professionally to internal and external inquiries via phone and email
High school diploma or equivalent required; associates or bachelors degree preferred
Strong computer proficiency, especially with Microsoft Office and customer database systems
Excellent written and verbal communication skills, including professional phone and email etiquette
Ability to manage multiple tasks and priorities with strong attention to detail
Team-oriented attitude and willingness to support where needed
Comfortable working in a fast-paced, high-volume environment
Calm, solution-focused demeanor when working with clients or handling challenges

Full-Time: MondayFriday
Standard office hours with occasional flexibility during seasonal needs.
Onsite at the company office in Penfield, NY. Occasional errands or field visits may be required.
