About the Role:
The National Accounts Order Management Specialist manages the direct-feed order process from when our national partner (customer) orders a part they see in our inventory on a direct data feed until the order is delivered and closed out, including confirming the part is available, cleaned, inspected and staged at the right RTP location, working with the sourcing site's shipping department to set up delivery on a bill of lading for the carrier and tracking to complete delivery.
Minimum Qualifications:
- High school diploma or equivalent.
- 2+ years in order management, order fulfillment, inside sales support, shipping/logistics coordination, or customer service — ideally in parts, distribution or a warehouse environment.
- Strong organization , multi-tasking, and attention to detail. Comfortable holding dozens of open orders at different stages without losing track of one.
- Clear, professional written and verbal communication with both customers and internal teams.
- Proficient with Microsoft Outlook and Excel, and able to pick up new systems quickly.
Preferred Qualifications:
- Experience with automotive parts — especially recycled, reman or aftermarket powertrain (engines, transmissions, transfer cases).
- Familiarity with Pinnacle, Hollander interchange, or the URG / PRP / RCD trading networks.
- Experience with EDI, direct inventory feeds, or customer ordering portals.
- Working knowledge of LTL freight, bills of lading, carrier routing guides and freight claims.
- Prior experience supporting national, corporate, or warranty / vehicle service contract (VSC) accounts.
- Associate’s or bachelor’s degree.
Responsibilities:
- Order Receipt & Entry: Monitor direct-feed and partner order queues throughout the day; pick up new orders as they arrive and acknowledge each one inside the account’s agreed response window.
- Enter and maintain the sales order accurately in Pinnacle: part detail, contract pricing, core deposit, freight terms and customer PO reference.
- Part Processing & Site Coordination: Work with sales/ shipping and warehouse teams across RTP sites to get each part located, pulled, inspected, tagged and staged against the promised ship date.
- Verify that the part staged is the part that was sold — correct tag, correct condition, plus photos or documentation where the account requires them.
- Shipping, Freight & BOL Compliance: Partner with each site’s shipping department and RTP transportation to release orders on schedule. Apply each customer’s own bill of lading and routing instructions — pull the correct BOL, carrier, account number and routing guide for that account, attach it to the right shipment, and make sure the site ships to the letter of it. Routing errors on a national account cost us money and credibility; this role prevents them.
- Capture tracking and PRO numbers, post them back to the order record and into the customer’s portal where required, and confirm delivery.
- Returns, Cores & Credits: Own the return process end to end — issue and track return authorizations, monitor return transit, confirm receipt and inspection at the site, and close out the credit / refund.
- Account Service & Reporting: Serve as the day-to-day operational contact for assigned direct-feed accounts. Be responsive, keep partners informed before they have to ask, and never leave a status request unanswered.
Skills:
The required skills enable the specialist to accurately process and track orders while maintaining clear communication with customers and internal teams, ensuring that all contractual obligations are met. Proficiency with Pinnacle, Hollander interchange and trading networks and order management systems allows for efficient handling of complex order data and quick resolution of discrepancies. Strong interpersonal skills facilitate collaboration across departments and help build trust with national accounts. Analytical skills are used daily to monitor order trends, forecast demand, and identify opportunities for process enhancements. Preferred skills such as CRM familiarity and supply chain certifications further empower the specialist to contribute strategically to customer satisfaction and operational excellence.
