We are a growing Commercial HVAC and Plumbing contractor seeking an organized and service-oriented Administrative Assistant to support our Human Resources & Payroll team. Position Summary

The Administrative Assistant is a valued member of the Human Resources and Payroll team, helping create a positive employee experience through exceptional administrative support, customer service, and collaboration with employees and leadership.

The ideal candidate is organized, proactive, detail-oriented, and eager to learn how all aspects of Human Resources and Payroll work together to support employees and organizational success. They are comfortable managing high-volume, repetitive administrative tasks with accuracy and attention to detail while remaining flexible, adaptable, and eager to take on new responsibilities. They are able to provide exceptional customer service and professional support to employees at all levels of the organization while maintaining confidentiality, professionalism, and accuracy in a fast-paced environment.

This position is designed for someone who is eager to learn and grow. You will have the opportunity to develop technical, administrative, and customer service skills while gaining exposure to multiple areas of Human Resources and Payroll.

Human Resources & Payroll Administration

  • Provide administrative support for the Human Resources & Payroll department.
  • Maintain employee records and update information in ADP Workforce Now (WFN).
  • Coordinate onboarding, data entry, employee status changes, and employment documentation.
  • Support payroll processing, reporting, audits, and recordkeeping.
  • Process employment verifications, garnishments, and unemployment requests.
  • Prepare correspondence, reports, and departmental documentation.
  • Schedule interviews, meetings, orientations, and training sessions.
  • Respond to routine employee inquiries and provide excellent customer service.
  • Provide backup front desk reception coverage and assist with office operations, facilities, and company events.
  • Support special projects within department and other administrative duties as assigned.

Qualifications

Required

  • High School Diploma or GED.
  • 1-3 years of administrative, office support, customer service, or clerical experience.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Strong organizational, communication, and time-management skills.
  • Diligence and ability to maintain confidentiality.

Preferred

  • Administrative experience supporting Human Resources, Payroll, Benefits, Recruiting, or Office Administration.
  • Experience with ADP Workforce Now (WFN), Microsoft Word, Excel, Outlook and Bluebeam or Adobe PDF
  • Experience in construction or another fast-paced environment.
  • Associate degree in a related field a plus.
  • Bilingual English/Spanish.
