About the role
Behind every successful academic program is someone who keeps the details moving, the right people connected, and the student experience at the center. As the Program Coordinator for Bethel University’s Physician Assistant (PA) Program, you’ll play a vital role in making that happen.
This is a dynamic role for someone who is highly organized, proactive, and energized by being the person others can count on. You’ll work closely with the Program Director, faculty, students, university departments, clinical partners, and external agencies to coordinate the many details that keep the PA program running smoothly. From maintaining critical student and program records to coordinating events, supporting accreditation and compliance activities, managing schedules, and assisting with budgets and purchasing, your work will have a direct impact on the success of the program.
You’ll also serve as an important resource and point of connection for students and faculty. Every day may bring something different, so this role is well suited for someone who can anticipate needs, navigate changing priorities, solve problems thoughtfully, and bring both precision and flexibility to their work. Your attention to detail will be especially important as you manage information and processes where accuracy matters.

This is a full-time, in-person role in Arden Hills, MN. The starting wage for this role is $20.00 to $22.20 per hour.
What you'll do
Program Support– 75%
Maintain accurate program databases and records, includingStudent databases, agency rosters, reporting for agencies, and student and faculty compliance, in collaboration with the didactic and clinical coordinators and program director.Didactic course and speaker contracts and evaluations, course syllabi, and course gradebook databasesCourse, instructor, and program evaluationAdmissions and progression data.Support faculty onboarding and provide ongoing administrative support to program faculty, as needed.Maintain and update program handbooks, mailings, evaluations/surveys, and websites in collaboration with the program director.Coordinate and help execute program events such as orientation, interview days, pinning and white coat ceremonies, advisory board meetings, and admission and information sessions in coordination with faculty and program director.Assist with survey administration and compiling assessment reports for internal use and any external agencies (e.g., Board of Medical Practice, accrediting bodies).Identify opportunities to improve program processes, systems, and workflows and assist with implementing efficiencies.Support budget administration processes by processing invoices, tracking expenditures, monitoring course fees, prepare spending projections, and maintain vendor agreements.Coordinate the licensure process with PA students, the department, and the University Registrar. Assist with contract renewal and insurance certification, as needed.General Operational Support - 25%
Provide day-to-day support to the Program Director, including scheduling meetings, general coordination support, and special projects.Serve as a primary point of contact for students. Facilitate communication among students, faculty, and the Program Director.Provide support by scheduling, transcribing, and maintaining all program meetings. Assist with testing accommodations and exam proctoring. Provide technical and clerical support for virtual and in-person meetings, including notetaking, agenda preparation, and follow-up.Monitor inventory levels of office, lab, and program supplies and coordinate the purchasing and inventory management.
Qualifications
Required Education: Post high school training/coursework
Required Experience: 1+ year of office experience

Expected Hours of Work:
Typically, days and hours of work are Monday through Friday, with the expectation to work specific schedules and hours as identified and communicated by management. On a rare occasion, evening and weekend work may be required as job duties demand. This is a 40 hour per week, 12 months per year position.
