POSITION SUMMARY

The Marketing Operations Manager strengthens the global marketing organization by optimizing processes, managing key marketing technologies, and enabling data driven decision making. This role requires deep, hands-on expertise with Smartsheet, building dashboards, reports, automated workflows, and scalable project structures that support global campaign execution. The position also oversees day-to-day operational continuity, provides training on processes and workflows, and supports internal teams in adopting best practices. This role reports directly to the Sr. Director of Global Marketing Operations.

Requirements:

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Build, maintain, and optimize Smartsheet dashboards, reports, automated workflows, and project templates following established guidelines to support global marketing initiatives.
  • Develop and enforce scalable file structure and data governance standards to ensure consistency, accuracy, and ease of use across teams.
  • Oversee daily marketing operations activities, ensuring smooth execution of processes, timely project progression, and alignment across teams.
  • Train internal resources on marketing operations processes, Smartsheet usage, workflow best practices, and system adoption.
  • Ensure all Marketing Dashboards are up to date and live for all marketing functions.
  • Provide ongoing coaching and support to team members to strengthen operational capabilities and ensure high-quality output.
  • Partner with global marketing, sales, customer service, legal, compliance, and product teams to align operational processes, lead flow, and reporting needs.
  • Implement and manage marketing technologies, ensuring proper integrations, user adoption, and ongoing optimization.
  • Build and maintain performance dashboards that track KPIs, campaign effectiveness, and pipeline contribution.
  • Analyze marketing data to provide insights and recommendations that improve conversion rates and customer experience.
  • Support project management for cross-functional initiatives, ensuring timelines, dependencies, and deliverables are clearly defined and tracked.
  • Own projects end-to-end ensuring all functional areas have completed their tasks and action items and delivering post-launch/project end reports and lessons learned reports.
  • Evaluate new tools and process enhancements to improve marketing efficiency and scalability.
  • Maintain documentation for processes, workflows, and system configurations to support operational continuity.
  • Assist with budget tracking, forecasting, and resource planning as needed.

QUALIFICATIONS AND EXPERIENCE

  • Bachelor’s degree in marketing, Business, Communications, or related field.
  • 5+ years of experience in marketing operations, project management, or related roles.
  • Advanced, hands-on experience with Smartsheet, including dashboards, formulas, automation, reporting, and workspace architecture.
  • Experience supervising or mentoring team members, with the ability to guide, train, and develop internal resources.
  • Strong understanding of marketing technology ecosystems, including CRM, marketing automation, analytics tools, and integrations.
  • Demonstrated ability to design scalable processes, manage complex projects, and improve operational efficiency.
  • Strong analytical skills with experience interpreting data and presenting insights to stakeholders.
  • Excellent communication and cross-functional collaboration skills.
  • Experience supporting global teams and navigating matrixed organizations preferred.
  • Ability to work independently, prioritize multiple projects, and adapt to changing business needs.

Work Environment & Physical Demands

LifeWave will operate as an in-office organization, and all employees are required to work onsite in alignment with corporate policy. While performing the duties of this job, the employee is regularly required to work at a computer workstation and be mobile within the office. Occasional movement of up to 25 pounds may be required.
