HR AssistantAbout the Role

The HR Assistant plays a vital role in supporting the daily operations of the Human Resources department by providing administrative, organizational, and employee support to the HR Generalist and management team. This position helps ensure efficient HR operations through accurate recordkeeping, onboarding coordination, employee communication, and general administrative assistance.

The HR Assistant helps maintain organized and compliant HR systems while supporting a positive employee experience and contributing to the overall efficiency of company operations.

Reporting Structure

Reports to:

  • HR Generalist

Works closely with:

  • Office Management

  • Supervisors and Department Leads

  • Employees and Applicants

Minimum Qualifications
  • High school diploma or equivalent

  • Previous administrative or office support experience required

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

  • Strong organizational and multitasking skills

  • Excellent verbal and written communication skills

  • Ability to maintain confidentiality and professionalism

  • Dependable attendance and strong work ethic

Preferred Qualifications
  • Associate degree or certification in Human Resources, Business Administration, or related field preferred

  • Prior administrative or HR support experience preferred

  • Experience working in construction, operational, or service-related industries preferred

  • Familiarity with HRIS systems, onboarding processes, or employee documentation preferred

  • Bilingual English/Spanish preferred

Key ResponsibilitiesHR Administrative Support
  • Maintain employee files and HR documentation

  • Assist with onboarding and new hire paperwork

  • Support employee record updates and document tracking

  • Maintain confidentiality of employee records and HR information

  • Assist with HR data entry and administrative support tasks

Recruiting & Onboarding Support
  • File employment applications, interview guides, and recruiting-related documentation

  • Maintain organized applicant and interview records

  • Prepare onboarding packets and employment documents

  • Support orientation scheduling and onboarding coordination

  • Track onboarding completion and required documentation

Employee Communication & Operational Support
  • Respond to routine employee inquiries and provide professional support

  • Assist with internal communications and employee notices

  • Support HR projects, employee engagement efforts, and operational initiatives

  • Maintain organized HR systems and filing processes

  • Assist with maintaining office supply inventory and general administrative support as needed

  • Perform other duties as assigned
