📝 What You’ll Be Doing
You will manage essential administrative workflows, keep operations audit-ready, and help coordinate our community presence. As a Case Assistant, you will provide critical operational and administrative support to ensure the smooth day-to-day functioning of our services. This dynamic role balances general office management, financial tracking, and calendar coordination with active participation in community outreach, research, and funder compliance reviews to support NYC’s older adults.
Key Responsibilities:
Office Administration: Execute general administrative tasks including answering phones, photocopying, scanning, faxing, filing, and purchasing office and client supplies.
Financial Tracking: Process, monitor, and track work-related expenses to maintain accurate budget records.
Schedule & Calendar Management: Maintain a master calendar of critical dates and deadlines; schedule and coordinate work-related appointments.
Outreach & Presentation Support: Coordinate with community-based organizations to schedule events; actively participate in community presentations, education, and outreach activities.
Compliance & Case Reviews: Conduct case reviews to ensure strict agency and funder compliance; perform research to support program needs.
Team Participation: Attend and actively participate in staff meetings, professional workshops, and assigned trainings.
Professional Communication: Communicate regularly with clients, colleagues, and service providers to gather necessary information and provide operational support.
🎓 What You’ll Need
Education: High School Diploma or G.E.D.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel) with the ability to quickly learn and navigate program-specific software.
Organization: Exceptional capability to organize complex information, prioritize tasks effectively, work under tight deadlines, and maintain meticulous records.
Communication: Strong written and verbal communication skills.
