Shine is seeking a highly professional and organized Administrative Assistant to support daily office operations and serve as the first point of contact for our organization. This role is ideal for someone with strong administrative experience who enjoys balancing front desk responsibilities with executive and office support in a fast-paced, team-oriented environment.

The Administrative Assistant will support the CEO, manage receptionist duties, coordinate schedules, arrange travel, assist with administrative projects, and help ensure the office operates efficiently and professionally. The ideal candidate is proactive, detail-oriented, customer-service driven, and comfortable handling multiple priorities throughout the day.

Key Responsibilities:

  • Provide administrative support to the CEO across professional and personal matters to ensure seamless day-to-day operations. This includes managing calendars, travel arrangements, errands, scheduling personal appointments, and assisting with household or family-related coordination.
  • Greet visitors, clients, and employees in a professional and welcoming manner
  • Answer and direct incoming phone calls and emails
  • Maintain front desk operations and office organization
  • Manage office inventory and requests for facility maintenance.
  • Coordinate and monitor project timelines, deliverables, and status updates across all business lines to ensure projects stay on track.
  • Prepare materials such as presentations, reports, emails, and research summaries.
  • Take detailed notes during meetings and calls, ensuring key points and action items are captured.
  • Support vendor management and overall operations to ensure the CEO and company initiatives run smoothly.
  • Perform other related duties as assigned to support the executive leadership team.

Qualifications:

  • Bachelor’s degree in Business Administration, Communications or related field, or equivalent experience.
  • 5+ year(s) experience in Administrative support or a related role.
  • 3+ year(s) experience working in a startup or fast-paced environment
  • 3+ year(s) experience with Google Suite
  • 3+ year(s) experience with project management tools (i.e. Trello, Clickup, Monday.com)

The pay range for this role is:
27 - 30 USD per hour(Los Ángeles, CA )
