Job Description
Main responsibility is Surgical Coordinator - Main location is Belleville. Coverage for Jersey City and Ridgewood as needed.
Up to 40 hours per week
Position Summary
The Surgical Coordinator / Front Desk / Prior Authorization Team Member is responsible for
coordinating surgical procedures, managing front office operations, obtaining insurance
authorizations, and providing exceptional customer service to patients. This position requires
flexibility to support multiple office locations and departments as needed to ensure efficient
practice operations and continuity of patient care.
Surgical Coordination
Schedule and coordinate surgical procedures with physicians, hospitals, surgery centers,
and patients.
Obtain and verify required medical clearances, laboratory results, and pre-operative
testing.
Educate patients regarding surgical preparation, post-operative appointments, and
procedural instructions.
Prepare and maintain surgical scheduling documentation and patient records.
Communicate effectively with physicians, clinical staff, and external facilities regarding
surgical cases.
Prior Authorization
Obtain insurance authorizations and referrals for surgeries, procedures, diagnostic testing,
and specialty services.
Verify insurance benefits, eligibility, and coverage requirements.
Submit clinical documentation to insurance carriers as required.
Follow up on pending authorizations and appeals to ensure timely approvals.
Maintain accurate authorization records and update patient accounts accordingly.
Front Desk Responsibilities
Greet and check in patients in a professional and courteous manner.
Verify patient demographics, insurance information, and required documentation.
Schedule, reschedule, and confirm appointments.
Answer incoming telephone calls and respond to patient inquiries.
Collect copayments, balances, and required forms in accordance with office policies.
Maintain patient confidentiality in compliance with HIPAA regulations.
Administrative Support
Assist with medical records, scanning, filing, and data entry.
Coordinate communication between patients, providers, and office staff.
Support daily office operations and workflow as needed.
Maintain accurate and organized patient information within the electronic medical record
(EMR) system.
Float Coverage Responsibilities
Travel to and provide coverage at multiple office locations as assigned.
Cross-train and assist in various administrative functions to support staffing needs.
Adapt to changing schedules, workflows, and office environments.
Maintain consistent quality of patient service and operational efficiency across all
locations.
Qualifications
High school diploma or equivalent required; associate degree preferred.
Minimum of 1–3 years of experience in a medical office setting.
Experience with surgical scheduling and insurance prior authorizations preferred.
Knowledge of medical terminology, insurance verification, and referral processes.
Proficiency with EMR systems and Microsoft Office applications.
Strong organizational, multitasking, and communication skills.
Ability to work independently and collaboratively in a fast-paced environment.
