Job Description

Reporting to the Assistant Provost for Institutional Research, the role will provide administrative support for the Office of Institutional Research. This position will assist with the day-to-day operations of the office including compiling data for institutional reports and surveys. This part-time position will play a major role in the organization efficiency of the office’s in regards to documentation.


  • Ensuring office efficiency and organization and coordinating office staff activities. Assist with all IR office functions including providing telephone coverage.
  • Monitor Institutional Research’s email account and disseminating data and other requests as appropriate in a timely manner.
  • Manage the documentation process of all records within IR.
  • Assist in the coordination and management of the process of completing institutional surveys to external agencies with members of the university community.
  • Support the compilation and completion of data requests such as reports included in the University Fact Book, brochures, enrollment reports, course evaluations, and assessment reports.
  • Proactively prepare comparative summaries of results in rankings and other publications for senior management. Conduct ongoing environmental scans to identify and report on national, regional, and local trends.
  • Conduct ongoing monitoring of websites and publications to ensure that St. John’s data are accurately listed; and take appropriate action to correct when necessary. Create reports based on trends identified at the national, regional or local levels.
  • Assist in the maintaining the Institutional Research’s website; upload reports and documents as necessary.
  • Ensure data integrity through validation, auditing, and documentation processes.
  • Maintain documentation related to data definitions, methodologies, and reporting processes.
  • Contribute to data governance initiatives and promote best practices in data management and security.

Required Education and Experience:

  • Bachelor’s degree in social sciences or other related analytical field required.
  • 2–4 years of experience in institutional research, data analysis, or a related analytical role.
  • Demonstrated proficiency in data analysis tools (e.g., Excel, SQL).
  • Strong analytical and problem-solving skills with the ability to interpret complex datasets.
  • Experience creating reports, dashboards, and data visualizations.
  • Strong attention to detail and commitment to data accuracy and integrity.
  • Ability to manage multiple projects and meet deadlines in a fast-paced environment.
  • Knowledge of data privacy standards and ability to handle sensitive information responsibly.
  • Proven performance with Microsoft Office 365 applications with specific knowledge of Excel and experience with Adobe Acrobat.


Preferred Education and Experience:

  • Master’s degree in a quantitative, analytical, or higher education-related field.
  • Experience in higher education or institutional research office.
  • Experience with data visualization tools (e.g., Tableau, Power BI).
  • Familiarity with student information systems (e.g., Banner, PeopleSoft, Workday).
  • Knowledge of higher education metrics, benchmarking, and reporting frameworks (e.g., IPEDS, accreditation standards).
  • Experience with predictive analytics, data modeling, or machine learning techniques.
  • Understanding data governance frameworks and data warehousing.


Work Environment

This position operates in a professional office environment. This role routinely uses standard office equipment such as personal computers, printers, etc.


Physical Demands

While performing the duties of this job, the employee is occasionally required to stand; reach with hands and arms; climb stairs; bend and stretch to file documents. The employee must work on a computer.


Position Type/Expected Hours of Work

This is a part-time temporary position on the Queens campus.


Travel

Travel is primarily local and may include visits to the other NY campuses or to local institutions for occasional meetings.
