Accounts Payable Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Accounts Payable Specialist based in United States.

This is an opportunity to join a close-knit accounting team within a fast-growing healthcare technology environment.
You will play a key role in keeping day-to-day financial operations accurate, timely, and compliant.
The position has broad exposure to invoice processing, expense management, vendor relationships, cash planning, and financial controls.
You will collaborate closely with Finance and Accounting colleagues and cross-functional stakeholders to resolve discrepancies and improve processes.
The role requires strong analytical judgment, exceptional attention to detail, and the ability to stay organized in a dynamic startup setting.
You will also contribute to audit activities, regulatory compliance, expense monitoring, and reporting requirements.

Accountabilities:
  • Process and analyze invoices through Bill.com, ensuring accurate expense classification, payment terms, approvals, and timely payment processing.
  • Manage employee expense processes using SAP Concur and Ramp, ensuring expenses are properly reviewed, recorded, and supported.
  • Review vendor and contractor agreements to determine the appropriate accounting treatment for related expenses.
  • Prepare and maintain expense amortization schedules for prepaid expenses and ensure accurate period-end accounting.
  • Analyze weekly cash requirements and support effective cash planning and expense management.
  • Ensure accounts payable activities comply with applicable accounting standards, laws, regulations, and internal controls.
  • Review payments to healthcare providers and support compliance with applicable Sunshine Act requirements.
  • Assist with internal and external audits by preparing documentation, reconciling information, and responding to auditor requests.
  • Build and maintain strong vendor relationships while investigating and resolving invoice, payment, and account discrepancies.
  • Partner with internal teams to resolve issues, improve communication, and identify opportunities to streamline financial processes.
  • Monitor expenses against budgets and use accounting systems and reporting tools to maintain accurate financial information.
  • Support timely preparation and filing of 1099 forms and other required financial documentation.
Requirements:
  • Bachelor's degree in Accounting or a related field, with 2–3 years of relevant accounting or accounts payable experience.
  • Solid understanding of accounting principles, standards, and financial controls, ideally within healthcare, medical technology, software, or another regulated environment.
  • Proficiency with NetSuite and Microsoft Excel or Google Sheets, with strong ability to analyze and organize financial data.
  • SAP Concur experience is required, while experience with Bill.com and Ramp is a strong advantage.
  • Strong analytical and problem-solving abilities, with exceptional attention to detail and a consistent focus on accuracy.
  • Ability to work independently, take initiative, and manage responsibilities effectively in a fast-paced startup environment.
  • Adaptability and comfort embracing changing priorities, processes, and business needs.
  • Excellent communication and interpersonal skills, with the ability to work effectively with vendors and internal stakeholders.
  • Strong organizational and time-management skills, including the ability to manage multiple priorities and meet deadlines.
  • A collaborative mindset and willingness to contribute to process improvements and team objectives.
Benefits:
  • Base salary of $70,000–$80,000 USD, with the range adjusted according to location, experience, skills, and internal equity.
  • 10% target annual bonus, bringing total target compensation to approximately $77,000–$88,000 USD.
  • Additional total rewards may include stock options, paid benefits, and employee perks.
