The Time & Labor Systems Specialist is responsible for managing timekeeping operations, ensuring data accuracy, supporting payroll processes, and providing guidance on workforce time management procedures. This role requires strong attention to detail, confidentiality, and collaboration across multiple teams.
- Review, process, and audit weekly employee timesheets to ensure completeness, accuracy, policy compliance, and payroll readiness.
- Analyze timekeeping exception reports and partner with employees, supervisors, HR, and payroll teams to resolve discrepancies.
- Maintain accurate contingent worker information within timekeeping systems.
- Perform system imports, exports, reconciliations, and data validations to support payroll processing and issue resolution.
- Assist with timekeeping system updates, testing activities, and periodic audits.
- Provide guidance and basic training to employees and managers regarding timekeeping procedures and best practices.
- Maintain confidentiality when handling employee information and sensitive workforce data.
- Support compliance initiatives, documentation requirements, and internal control processes.
- Perform additional related duties as assigned to support operational needs.
The ideal candidate is a highly organized and detail-focused professional with experience supporting timekeeping, payroll, or HR systems. They should be comfortable interpreting policies, analyzing reports, managing confidential information, and collaborating with various stakeholders.
- High school diploma or equivalent required.
- Strong organizational skills with exceptional attention to detail.
- Ability to interpret policies, reports, and complex process documentation.
- Strong written and verbal communication skills.
- Ability to manage sensitive and confidential employee information.
- Basic proficiency with Microsoft Office tools.
- 2+ years of experience in timekeeping, payroll administration, HR operations, or a related field preferred.
- Experience working with enterprise timekeeping or payroll systems such as Deltek Time & Expense, Costpoint, or similar platforms preferred.
- Understanding of payroll compliance topics, including exempt/non-exempt classifications, PTO usage, and unpaid time policies preferred.
- Experience supporting payroll imports, exports, audits, and reporting processes preferred.
- Familiarity with regulated environments and compliance requirements preferred.
- Advanced Excel skills for data validation and report analysis are a plus.
