Job Description
The Office Manager II is responsible for daily administration of business office activity for more than five (5) providers and more than one (1) physical location. This position involves knowledge of all computer software, which may be utilized in daily operations. The Office Manager II may be called upon to perform registration, scheduling, patient dismissal, collection of necessary statistics, staffing assignments, as well as staff training and supervision of above functions. The Office Manager II should be prepared to assist in the collection of data, analysis, and implementation of performance improvement plans. The Office Manager II should also be prepared to work on practice initiatives related to quality data and special assignments as requested by the Practice Administrator. Office Manager II performs within the limits of the hospital's/department's Ethics and Corporate Compliance Program and is responsible to detect, observe and report compliance variances to his/her supervisor, or upward through the chain of command, the Compliance Officer or hospital hotline.
PRIMARY RESPONSIBILITIES OF THE POSITION:
- Monitors patient flow for 2 locations to ensure appropriate utilization of mid-level and physician time, and necessary staff coverage
- Direct report for staff with interviewing and hiring responsibility
- Orientation and training of medical staff in the duties and responsibility of the role, providing regular feedback and conducting Annual performance evaluations
- Scheduling and registration of patients using Outlook calendars / Cerner Millennium and coordination with recruiters, contracts, and office staff to ensure smooth work flow and positive patient experience
- Liaison with all contracts ensuring customer satisfaction and services needs met
- Monthly cash reconciliation for all cash/credit card/check transactions
- Biweekly payroll approval in API for all office staff
- Monthly and quarterly random drug screening pool draws for multiple companies
- Manage all aspects of company billing, preparation of invoices, review of payment, and prepare check requests for contracted services.
- Manage medical record requests from patients, companies, attorney’s offices; Transmit all required company reports daily
EDUCATION AND EXPERIENCE REQUIREMENTS:
Requires an associates degree; prefer bachelor’s degree or the equivalent in directly related work experience and a minimum of three (3) years experience as a medical office manager. Must have a thorough working knowledge of medical office computer systems; the ability to formulate, initiate and supervise sound business and clinical policies and procedures; excellent financial management skills, focusing on cost containment, reimbursement and collection practices; the ability to prepare monthly financial and clinical reports as requested. This position requires excellent communication skills and ability to interact with a variety of people including hospital administration, staff and physicians. This position requires a customer service-oriented attitude and behavior.
PHYSICAL REQUIREMENTS:
The position is located indoors under normal working conditions with travel required between offices. Should be able to push/pull 25 lb., lift/move 15 lb. from floor to table, be able to perform moderately difficult manual manipulations such as using a key board, writing and filing for extended periods of time, must be able to perform tasks which require hand-eye coordination such as data entry, typing and using photocopiers. Mobility requirements may include the ability to sit at a computer terminal or work station for a prolonged period of time in addition to being able to squat, stand and walk for a reasonable length of time and distance. Sensory requirements include the ability to articulate and comprehend the spoken English language in addition to being able to read the English language.

Salary Range: $ 24.75-$36.53 /hour Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the state.
