About This Position
The Document Control Clerk supports the Maintenance Department by managing, organizing, and maintaining all technical documentation, records, and compliance-related files. This role ensures that maintenance documents are accurate, up to date, properly stored, and easily accessible to internal teams and auditors. The Document Controller plays a key role in supporting regulatory compliance, preventive maintenance planning, and continuous improvement initiatives.
Key ResponsibilitiesDocument ManagementMaintain and update all maintenance-related documents, including SOPs, work instructions, equipment manuals, PM schedules, and safety procedures.
Ensure all documents follow established version control and approval processes.
Track document revisions and maintain accurate records of changes.
Organize and archive historical documents in accordance with company retention policies.
Ensure documentation meets internal quality standards and regulatory requirements.
Prepare and provide documentation for internal and external audits.
Monitor document expiration dates and coordinate timely updates with responsible parties.
Upload, update, and manage documents within the Computerized Maintenance Management System (CMMS).
Assist with data entry related to work orders, PM tasks, and equipment records.
Support maintenance leadership with reporting and documentation requests.
Collaborate with maintenance supervisors, technicians, engineering, and safety teams to ensure documentation accuracy.
Notify stakeholders of upcoming document reviews, required updates, or missing information.
Provide training or guidance on document control procedures when needed.
High school diploma or equivalent required; associate degree preferred.
2+ years of experience in document control, administrative support, or maintenance/engineering environments.
Experience with NetSuite a plus
Strong attention to detail and organizational skills.
Ability to manage multiple tasks and deadlines.
Proficiency in Microsoft Office (Word, Excel, Outlook).
Familiarity with technical documents, maintenance terminology, and regulatory requirements.
Excellent communication and record‑keeping skills.
Office environment within a maintenance or industrial setting.
May require occasional visits to production or equipment areas to collect or verify documentation.
