Patient Registration Clerk & Support Services Assistant — Full time
Reporting Relationship: Patient Registration Manager

This person is responsible for the registration of all patients in the EHR system, as well as verification of insurance information and demographics; is responsible for handling all incoming and outgoing telephone calls that are routed through the PBX system on evenings and weekends, meet the communication needs of the patient/family, visitors, departmental staff and medical staff; is also responsible for order entry and transcription of provider orders in the Emergency Room; making appointments with providers, keeping registration of all patients, collection of monies due from patients; copying/printing medical records, scanning documents, and filing charts. Additionally, this person may be asked to verify insurance coverage, pre-certification and/or pre-authorization requirements for, Outpatient, Inpatient, Outpatient Observation and Surgery patients, to work hand in hand with the patient financial services department to ensure the patient is properly educated in their financial responsibility and what the facility has available to assist in the patient’s financial needs. This person must be able to keep an accurate record of payments received and be able to provide patient financial services with the proper paperwork that reflects all related transactions, as well as maintain and balance a cash drawer. This person must have outstanding customer service skills, often being the initial liaison between patients and our hospital staff, setting the tone for our patient’s experience. This person must be able to float between Hospital and Clinical Registration, and may be required to float to and provide support in other hospital departments, depending on the needs of the department. Other duties as assigned.

Essential Job Functions:

  1. 1.Schedule daily appointments with any and all Michael F. Essay Specialty clinic & GNMSS clinic medical providers. Enter schedules into computer system. Direct telephone traffic coming into BBGH. Answer telephone in a polite manner and communicate information appropriately following direction and expectations from BBGH.
  2. Manages time well, demonstrates extreme organization. Demonstrates the ability to anticipate and prepare charts, medical records; as well as answer patient, family and provider requests within your scope.
  3. 3.Demonstrates the ability to communicate appropriately, politely and clearly to nurses, co-workers and medical providers. Takes accurate messages and pull appropriate charts for inquiries. Assigns tasks to the appropriate persons through electronic record.
  4. 4.Contribute to effective and guest relations by assisting patients, visitors and physicians to resolve expressed concerns and demonstrating a welcoming and helpful attitude.
  5. 5.Ensure demographics are correct when patients check in, making corrections immediately in computer system.
  6. Daily collection of money for billing and/or co-pays according to facility standards, writing out receipts correctly, and completing required paperwork for the billing department. (This includes MVA, Work Compensation, or other liability insurance paperwork) Work closely with billing department.
  7. Maintain and balance cash in the drawer to complete daily cash transactions.
  8. Process credit card entry when patients pay bills or co-pays.
  9. Copying medical records to other medical offices, lawyers, workman compensation carriers, insurance agencies, etc following Health Information policies and procedures for Release of Information.
  10. File charts and information including lab, radiology and correspondence.
  11. Keep information confidential by adhering to the terms of personnel policy addressing HIPAA and confidentiality.
  12. Assists with maintaining stock and order supplies when appropriate.
  13. Faxes important clinical, patient health information and other miscellaneous documents in a timely and accurate manner.
  14. Supports and participates in Service Excellence, Destination Excellence and TeamSTEPPS programming to ensure excellent quality and customer service.
  15. Demonstrate a willingness to put the patient and customer first even if it means staying late or coming in early.
  16. Demonstrate the ability to gather/file charts from varied levels and heights (ground floor to overhead).
  17. Check insurance eligibility on line or by phone.
  18. Scan all documents into the electronic health record.
  19. Understands medical terminology or is able to research terminology to gain and understanding.
  20. Understands standard insurance forms.
  21. Able to perform basic mathematics and payment processing.
  22. Ability to work any day of the week, including weekends and holidays as needed.
  23. Ability to work day or night shift, as needed.
  24. Ability to be available on an on-call basis, as needed.
  25. Communicates appropriately and clearly to charge nurse, co-workers, and medical providers. Places long distance calls for providers and patients as needed.
  26. Contributes to effective guest relations by assisting patients, visitors and physicians to resolve expressed concerns and demonstrating a welcoming and helpful attitude.
  27. Processes the daily census and any other registration reports required for patient accounts department, medical records and ancillary departments.
  28. Prepares and compiles medical records for patients in the unit of assignment.
  29. Obtains appropriate nursing staff to assist patients/physicians in the care of the patient.
  30. Maintains current “on-call” list of pagers, providers, and ancillary departments.
  31. Demonstrates ability to be flexible, organized and function under stressful situations.
  32. Understands the importance of proper patient registration and how it affects the revenue cycle of BBGH, and has the ability to make corrections to improperly registered patients.
  33. Responsible for reviewing with patient any financial assistance needs they may have and direct them to the financial counselor as needed.
  34. Provides patient education regarding insurance benefits and payment obligation.
  35. Inputs demographic information into the computer, issues appropriate identification bands and face sheets. Obtains appropriate signatures for medical and financial treatment authorization.
  36. Willing to serve as a back-up clerk when needed at all satellite clinics and/or other registration departments.
  37. Assists with transferring patients into the facility, around the facility and out of the building.
  38. Assists patients in and out of cars and wheelchairs.
  39. Helps nursing staff clean and prepare rooms.

  4. Assists in Joint Commission standards and preparation.
  5. Maintains an orderly, clean, and presentable work space.
  6. Perform other related duties as assigned or requested.
  7. Assists with maintaining stock and orders supplies for the unit of assignment.
  8. Enhances professional development by taking steps to remain knowledgeable of industry standards, and attending meetings and seminars as assigned. Actively participates in BBGH Performance Improvement activities.
  9. Contributes to the prevention of infectious disease among employees and patients by adhering to infection control policies and procedures.
  10. Contributes to adequate staffing of department by reporting to work at scheduled time.
  11. Contributes to effective guest relations by assisting patients, visitors and physicians to resolve expressed concerns and demonstrating a welcoming and helpful attitude.
  12. Conserves BBGH resources by using equipment and supplies as needed to perform job duties.
  13. May be required to float to and provide support in other hospital departments, including but not limited to Environmental Services, Dietary, and Maintenance.
    1. Helping in kitchen, mowing lawns, cleaning waiting areas, etc.
  14. Other duties as assigned


Job Qualifications:

Age Requirement

Required: Must be 19 years or older

Education:
Required: High School Graduate or equivalent
Preferred: Associate degree or higher in secretarial work.

Preferred: 1+ years of experience in a medical office or hospital setting. Strong communication and computer skills (EHR experience preferred). Ability to work in a fast-paced environment and adapt to different teams
