PRIMARY FUNCTION

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Provides leadership, guidance, and support to the clinician-staff scheduling team.

  1. Trains and mentors team members, ensuring they have the necessary skills and knowledge to perform their roles effectively.

  1. Fosters a positive work environment and addresses any issues or concerns that arise within the team.

  1. Collaborates with clinic managers and department heads to assess staffing needs and allocate clinicians and staff members accordingly.

  1. Monitors and maintains adequate coverage across departments to support patient care and operational requirements.

  1. Oversees the development and maintenance of clinician and staff schedules, ensuring that shifts, breaks, and time off requests are properly managed.

  1. Directs and implements new operational procedures, action plans and quality initiatives to obtain optimum efficiency. Participate in continuous process improvement.

  1. Develops policies and procedures within department scope aiming to standardize protocols across Enterprise.

  1. Collaborates with the Integrations team and other internal departments for transition of newly acquired practices to coordinate scheduling support.

  1. Regularly review schedules and monitor staff performance to ensure adherence to scheduled shifts and productivity goals. Identify any trends or issues related to attendance, punctuality, or performance and take appropriate action, such as providing coaching or corrective measures.

  1. Effectively communicates issues and collaborates with Practice Managers, Team Leads, IT Support, and other departmental leads regarding resolutions.

  1. Leverage QGenda and other relevant tools to manage schedules efficiently.

  1. Performs other duties as assigned.

SUPERVISORY RESPONSIBILITIES

Supervises Clinician-Staff Schedulers from all levels (I,II,III) and Instructs team in methods or procedures needed to carry out their job as well as makes work assignments. Develops and executes on-site implementation of new virtual support programs and manages expansion. Responsible for overseeing staffing for all regions to include hiring, training, and coaching.

QUALIFICATIONS

EDUCATION:

  • High School Diploma/GED or equivalent required.

  • Associate degree preferred.

  • Experience may be commensurate with education.

EXPERIENCE:

  • A minimum of 3 years of experience required.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge of Scheduling Processes and Systems

  • Ability to lead, direct, and motivate a team of scheduling staff including providing clear direction, setting expectations, and fostering a collaborative and positive work environment.

  • Knowledge of computers required.

  • Must be able to multitask.

  • Analytical thinking.

  • Ability to communicate clearly with others verbally and written.

  • Ability to assess emergency staffing situations and act accordingly.

  • Ability to plan, prioritize, organize, and direct.

  • Skill in identifying problems, researching, and recommending resolutions.

  • Ability to maintain effective working relationships with staff and management.

  • Ability to pay extreme attention to detail.

  • Knowledge of computer required to include Microsoft applications such as word & outlook.

TYPICAL WORKING CONDITIONS

  • Non-patient facing

  • Full-time remote/telework with some in-person meetings required.

  • If remote, this job must be U.S. based.


OTHER PHYSICAL REQUIREMENTS

  • Vision

  • Sense of sound

  • Sense of touch

  • Work may require sitting for long periods of time

  • Manual dexterity sufficient to operate a keyboard

  • Long periods of time in front of a computer screen
