Position Summary

The Telemedicine Coordinator serves as the central point of coordination for telehealth visit requests across all clinic locations. This role receives, triages, and schedules telemedicine appointments in real time, matching incoming patient and clinic needs to available providers — including designated telehealth providers as well as providers at other clinics with low patient volume and capacity to assist. The coordinator ensures that telehealth visits are routed efficiently, that providers are utilized effectively across the network, and that patients and clinic staff experience a seamless, timely process. The position supports smooth workflow, regulatory compliance, and high-quality patient care experience in an occupational and telehealth setting.

Work Schedule: Monday through Friday, 8:00 AM to 5:00 PM (with flexibility based on operational needs)

Compensation: Starting compensation range is $21.00-$23.00 hourly. Exact compensation may vary based on skills, experience, and location.

Responsibilities

Scheduling & Coordination Responsibilities

  • Centralized Request Intake – Receive and monitor telemedicine visit requests from all clinic locations through phone, EMR, messaging, and scheduling queues, serving as the single point of contact for telehealth scheduling.
  • Monthly Telehealth Provider Schedule – Develop the provider coverage schedule for telehealth 90-days in advance, taking into account who will be covering, hours/days, PTO requests, back-up providers, etc.
  • Real-Time Appointment Scheduling – Schedule and confirm telemedicine appointments in real time, prioritizing requests by urgency and clinic need to minimize patient wait times.
  • Provider Matching & Routing – Match each request to an available provider — designated telehealth providers first, then providers at other clinics with low volume and availability to assist — to balance workload across the network.
  • Provider Availability Management – Maintain an up-to-date, real-time view of provider schedules, availability, and capacity across all locations, and proactively identify open provider time that can absorb telehealth demand.
  • Coordination Across Centers – Communicate with clinic staff at originating and receiving locations to confirm patient readiness, room/device availability, and any documentation needed before the visit.
  • Visit Preparation & Follow-Through – Ensure required paperwork, consents, and patient information are complete prior to each telemedicine visit, and coordinate any follow-up appointments or referrals afterward.
  • Issue Resolution – Troubleshoot scheduling conflicts, provider availability gaps, and connectivity or technical issues affecting telehealth visits, escalating to management when needed.
  • Perform other duties as assigned by manager or supervisor.

Administrative & Compliance Responsibilities

  • Documentation & EMR Management – Accurately document all scheduling activity, provider assignments, and patient communications in the EMR (e.g., PrognoCIS), ensuring records are complete and current.
  • Liaison Between Departments & Locations – Serve as the communication link between front office, clinical staff, providers, and management across multiple centers to resolve workflow and patient-scheduling issues.
  • Compliance & Confidentiality – Adhere to HIPAA and all applicable federal and state regulations governing telehealth, scheduling, and patient information, always maintaining strict confidentiality.
  • Reporting & Utilization Tracking – Track telehealth volume, provider utilization, and turnaround times, and provide reports to management to support staffing and capacity decisions.
  • Customer & Patient Relations – Provide professional, courteous communication to patients and clinic teammates, supporting a positive telehealth experience.
  • Perform other job-related duties as assigned.
Requirements:
  • High school graduate or equivalent required.
  • Strong scheduling, admissions/intake, patient coordination, or medical front-office experience; healthcare or occupational medicine setting preferred.
  • Strong knowledge of medical office workflows, scheduling, and documentation.
  • Proficiency in using Electronic Medical Records (EMRs), preferably PrognoCIS, and Microsoft Office applications.
  • Required to be a proficient Spanish-speaker.
  • Excellent communication and organizational skills, with the ability to manage competing priorities and schedule in real time in a fast-paced environment.
  • Strong attention to detail and the ability to coordinate across multiple locations and providers simultaneously.
  • Ability to work independently while effectively collaborating with providers, clinic staff, and management.
  • Comfort with telehealth platforms and basic troubleshooting of video/connectivity tools is a plus.
  • Understanding of HIPAA, telehealth regulations, and occupational health/compliance standards is a plus.
